About the Position: Serves as primary assistant and office manager and performs a wide variety of office management and administration duties to ensure smooth and efficient operation of the US Army Materiel Command (AMC), Office of the Deputy Chief of Staff, G-1.

Duties

Greet and/or direct high-ranking callers and visitors to appropriate staff according to proper protocol. Brief supervisor on ongoing assignments to accommodate rapidly changing priorities and deadlines. Coordinate with other executives, staff principles, and support staff ensuring supervisor is fully represented at meetings and briefings. Communicate in a professional pleasant disposition to ensure office personnel receive prompt and courteous customer service. Administer arrangements of activities hosted by supervisor such as special meetings, conferences, speeches, and briefings. Determine nature of inquiries and apply organization mission to handle or refer inquires to appropriate official/office. Advise senior-level officials, staff, and associates of changes/developments in rules, regulations, directives, correspondence, and related publications on matters of administration. Record and transcribe meetings minutes into reports in proper format. Review and edit all documentation for supervisor's signature to ensure grammar and format according to administrative procedures. Utilize automated systems for operational and administrative functions of the organization to include reporting suspense’s and tasks. Monitor suspense logs to track staff actions utilizing the ETM system and prioritize incoming requests/tasks to meet deadlines. Submit leave, timecards, and other absences for all assigned personnel to ensure adequate office staffing and manning are maintained utilizing the ATAAPS system. Coordinate travel arrangements to include scheduling, itinerary details, reservations and prepare travel vouchers utilizing the Defense Travel System (DTS). Prepare recurrent reports such as two-month planning calendar, social and trip calendar. Coordinate conferences, meetings, and briefings for command staff. Compose routine correspondence in accordance with regulations. Review action papers to ensure composition and grammar are in accordance with administrative procedures. Compile statistical/other data pertinent to administrative/management aspects of the command programs. Apply Department of Defense (DoD)/Army Protocol rules and standards.

Requirements

  • This position requires the incumbent be able to obtain and maintain a determination of eligibility for a Secret security clearance or access for the duration of employment.
  • Appointment to this position is subject to a one-year probationary period unless the appointee has previously met the requirements as described in 5 CFR Part 315.
  • This is an obligated position. An obligated position is one to which an employee has statutory restoration rights or entitlement based on active military service, recovery from a compensable injury, or return rights based on an overseas tour.

OR Education: Master's or equivalent graduate degree or 2 full years of progressively higher-level graduate education leading to such a degree or in a field which demonstrates the knowledge, skills, and abilities necessary to perform the work of the position. (Note: You must attach a copy of your transcripts.) OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond the first year (total graduate semester hours minus 18) by 18. Add the two percentages. (Note: You must attach a copy of your transcripts.)
