This position provides assistance to the Chief, SCI, Administrative Officer, Physicians, ARNPs, PAs, Social Work, Dietary, Pharmacy, Psychology, Physical Therapy, Recreation Therapy, Respiratory Therapy, Wound Care, Occupational Therapy, Kinesiotherapy, Outpatient clinics, Urology, Community Enrichment and Pain Clinic.
Duties
As a Secretary, you will be responsible for performing the following duties:
Screens calls that come to the administrative suite, handling those that can be resolved independently and forwarding to the Admin Officer only those calls requiring attention.
Responsible for the clerical and routine management of the Office of the Chief, SCI and those who have offices in the administrative suite.
Serves as primary source for ordering office supplies for the Service.
Serves as TMS Coordinator
Maintains and coordinates provider on call schedules
Creates and maintains competency folders on staff assigned under the SCI Chief
Primary timekeeper for the Service
Maintains all staff contact rosters
Formulates meeting minutes and agendas for monthly and weekly meetings
Maintains effective office systems (including files and report automation), travel procedures (including reservations and itinerary), and communication on special procedure
Maintains the Chiefs' calendar, schedules appointments and meetings based on personal knowledge of Chiefs' workload and current issues of importance to both the Chief and Administrative Officer.
Maintains the conference room's calendars and assists with requests to reserve these rooms following SCI Guidelines.
Work Schedule: 7:30am - 4:00pm, Monday - Friday

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Utilizing Microsoft Office to manage calendars and route correspondence; Multitasks in vibrant and stressful environment; Providing excellent customer service in an administrative setting.

Physical Requirements: Most of the work is performed seated at a desk. There is some lifting and carrying of light items such as files, form and manuals.
