About the Position: This is an Administrative Support Assistant, GS-0303-07/8 position with the U.S. Army Corps of Engineers, Northwestern Division (NWD), Omaha District, Executive Office.

Duties

Serves as consultant and personal advisor to the Deputy District Commander on executive and administrative matters. Coordinates staff activities exercising administrative guidance in the preparation and flow of correspondence, reports, and staffs actions throughout the District. Collaborates in determination and establishment of Executive Office internal control procedures pertaining to correspondence, reports, messages, memoranda, records management, and forms control. Responsible for ensuring the practices and procedures used by secretarial and administrative positions in subordinate offices are consistent with those of the Executive Office SOP, District policies and procedures. Reviews and interprets inter- and intra-office correspondence and manages information within the office to ensure Command group is informed of all critical programs and developments. Answers/screens calls for the Deputy Commander and Executive Office group; answers questions through a complete knowledge of established policy; referring questions of a technical nature to responsible staff offices. Reads incoming correspondence, publications, regulations, and directives; determines those that can be acted upon personally and takes necessary action. Making all necessary arrangements for travel, to include producing schedules of visits and making transportation/hotel reservations. Personally drafts or edits policy publications or correspondence requiring direct action by the District Deputy Commander. Initiates, monitors and tracks all Request for Personnel Actions (RPAs) for the Deputy District Commander. Assists in plans, coordination, organization, and support work for District events, such as Changes of Command, Commander's Off-sites, Fall Field Reviews, Transition Workshops, Leadership Development Conferences, Special Emphasis Programs, etc. Provide support to bi-weekly district staff meetings and monthly Corporate Board, backup to timekeeping for executive office and primary timekeeping for support staffs.

Specialized Experience GS-7: One year of specialized experience which includes: 1) Using office automation software such as Microsoft word, Excel, in order to produce documents for reports and spreadsheets; AND 2) Preparing correspondence with items such as proper spelling, grammar, and punctuation. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06). OR Education: One full year of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 18. Add the two percentages. Time in Grade Requirement:Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-6). Specialized Experience GS-8: One year of specialized experience which includes: 1) Preparing travel orders; AND 2) Coordinating calendars and schedules; AND 3) Using office automation software such as Microsoft word, Excel, in order to produce documents for reports and spreadsheets. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-07). OR Education: One and a half years of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) beyond one year (total semester hours minus 18) by 9. Add the two percentages. Time in Grade Requirement for GS-7:Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-6). Time in Grade Requirement for GS-8: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-7).
