This position is located within the VA Hudson Valley Health Care System at the VA Medical Center in Montrose, New York providing day-to-day operations of the office and administrative and clerical support to Finance office.
Duties
Prepares correspondence and other documents both of confidential and non-confidential nature
Provides administrative and personnel work for the Chief, HAS and Service Line which includes confidential matters
Supports HAS leadership with administrative tasks such as preparing schedules, timekeeping, maintaining leave calendar, placing work orders for equipment repairs, assisting with inventory, etc.;
Ensures administrative issues are resolved in a competent and timely manger
Performs daily surveillance of various data and notifying appropriate clinical and administrative leads so that outliers are completed and resolved
Arranges for space and support arrangements for HAS program activities, trainings and meetings
Performs timekeeping functions
Provides technical expertise on matters related to timekeeping, leave administration and travel
Provide public contact support services such as answering telephones calls, referring visitors, providing information about HAS services, etc.
Sets training priorities, researches and recommends new or alternative training sources
Assesses training program quality and effectiveness for continuous improvement
Provides reports and information regarding clinic profile systems, information on inactivation, setups, modification, delinquencies, setting or parameters, letters, etc.
Assembles information for reports, maintaining records, and responding to communications and inquiries
Inputs data into various electronic databases
Extracts data to prepare reports, sort and summarize data elements
Performs other related duties as assigned.
Work Schedule: Monday-Friday, 8:00am-4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/18/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing administrative and technical support for the management of various programs; maintaining databases and utilizing various software programs; scheduling appointments and typing a variety of correspondence. This experience must be detailed in your resume to receive credit.
Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
To qualify for this position all applicants must have at least one (1) year of specialized experience equivalent to the next lower grade level (GS-6) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the Program Support Assistant position, and that is typically in or related to the work of this position.

Physical Requirements: Work is mostly sedentary; however, requires frequent trips to other service offices in the hospital, and to other sites within the Finger Lakes Health Care System, as required, to hand carry correspondence, file folders, confidential material, etc. Must be able to adjust to changing workload demands.
