The incumbent of this position is responsible for the operation and maintenance of copying/duplicating equipment and maintenance/supply of other equipment associated with print shop operations within the LTC Kettles VA Medical Center. The incumbent will operate on a broad delegation of independence in managing the print shop other responsibilities assigned by the Communications Director to sustain print shop operations.

Duties

MAJOR DUTIES AND RESPONSIBILITIES Operation and Maintenance of Copying/Duplicating Equipment: Incumbent in this position is responsible for the day-to-day operation of the print shop, including the maintenance of copying/duplicating equipment. Using critical thinking skills, incumbent will be able to troubleshoot problems associated with very complex duplication equipment and peripherals. Working independently, the incumbent serves as the expert in duplicating assignments and equipment functions. Program, set up, adjust, and operation of various equipment associated with the reproduction/copying of legible copies of official hospital documents. Incumbent serves as the expert in duplicating assignments and equipment functions. The incumbent is to replace toners, fill staplers or other important tasks to assure equipment is functioning appropriately. All repair records are to be recorded and filed. Supply Chain Management Service is to be notified when/if a machine is having continual equipment breakdowns. Incumbent must possess and maintain considerate and tactful traits in order to maintain good working relations within the stakeholders. Must possess knowledge in the operation of the following equipment: Commercial grade Printers (color and black/white). Steel spine glue binder. Comb bind slot punch and expander. Light table. Laminators (hand feed and automatic). Commercial grade paper cutter. Booklet stapler. Commercial grade hole punch. Assorted office tools, computer, and phone. Software: Incumbent must have knowledge in the use of the Excel, Word, PowerPoint, Publisher, the Adobe Suite (Illustrator, Photoshop, InDesign), and VISTA programs. The incumbent must have a high level of writing and copy-editing skills, as they are often required to proofread and correct grammar, spelling, and stylistic issues on projects submitted by customers. Additionally, the incumbent must be able to execute office automation functions such as storing and retrieving electronic documents and files: activating printers; formatting letters, reports, and memoranda; and transmitting and receiving e-mail. The position is required to respond to emails, craft memos and responses to customers, which requires the skills of a qualified typist. Inventory Management: Incumbent is independently responsible for conducting periodic inventory of daily supplies, order replacements as needed, as well as research and order supplies for custom orders as necessary and restock inventory in orderly fashion. Ensures Compliance with Privacy Act, Copyright Laws and Other Guidance: Exercises clear judgment in reviewing reproduction requests to ensure that documents can be legally reproduced, in accordance with Privacy Act and Copy Right Laws. Informs requestor of the correct procedures to follow when materials do not meet reproduction criteria. Exercises independent reasoning to determine which machine best meets requirements necessary to accomplish the request. Maintains accurate production records on reproduction/copying request. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/16/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. NOTE: You must submit a copy of your most recent personnel action/SF50. Additionally, An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Incumbent is required to have knowledge and skill of the set up and adjust equipment used in the reproduction unit. A thorough knowledge of the various chemicals used in daily operations of reproduction equipment and OSHA requirements for their disposal. Incumbent is required to have knowledge and skill to diagnose equipment malfunctions and operating problems to perform corrective adjustments as needed. Incumbent is expected to examine the specific units repair history and communicate to the Chief of Distribution Unit, Supply Chain Management Section on any concerns. Incumbent works with Inventory and Management staff to maintains inventory of toners and staples and records item overages, shortages or any damages incurred in shipping. Required to answer recurring inquiries regarding the status of repairs, delivery of material, and other questions received from customers. Incumbent is required to have knowledge of Copy Right Laws and VA regulations, policy, or bulletins, pertaining to reproduction procedure. Incumbent is required to have knowledge and skill in the use of the Excel, Word, PowerPoint, Publisher, the Adobe Suite (Illustrator, Photoshop, InDesign), and VISTA programs. The incumbent must have a high level of writing and copy-editing skills, as they are often required to proofread and correct grammar, spelling, and stylistic issues on projects submitted by customers. Incumbent must have the ability to independently determine work priorities based on established sets of priorities and seek guidance from supervision in any situation that is unclear. Proficiency Requirement: Office Automation Clerk/Assistant- In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Additionally, the work will involve walking, bending, stooping, reaching which is required to clear minor paper jams, reading of meters, and the delive1y/installation of toner and/or staplers to conduct on site repair of minor jams.
