This position is located in the Health Information Management Section of Business Office Service at VA Southern Oregon Health Care System - White City VA Medical Center in White City, OR. The File Clerk (OA) will serve as a File Clerk/Scanning Specialist.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties and responsibilities include but not limited to: Duties include the receiving, indexing, scanning, and assignment of appropriate nomenclature to health and administrative information, as assigned, for incorporation into the correct patient's record in the computerized patient records system (CPRS.) Also performs filing of paper health and administrative documents in accordance with approved procedure. Maintains a system of paper medical records. Retrieves and delivers records or documents from such system upon request from persons having right of access. The incumbent will interface with personal computer applications as well as numerous VISTA and CPRS applications (computer technology). Incumbent also forwards requests for the transfer records to other Veterans Health Administration (VHA) medical facilities via Release of Information (ROI). Identifies and prepares records for retention and disposition. These functions are performed under established procedure. Promotes a positive image of this Medical Center with emphasis on customer service by treating patients, co-workers, and medical center personnel with courtesy and respect. Responds to customer needs in a positive and efficient manner. Fully protects the confidentiality of patient information, access to computer files and release of access codes, according to established guidelines and policies. Employs a cooperative attitude in interaction with co-workers and supervisors. Regularly and cooperatively assists other co-workers when needs arise. Performs clerical duties, including, for example, the use of computerized records tracking, associated with the retention, maintenance, disposition, and control of administrative and medical records. Following approved procedure, routinely transfers or prepares for archiving records of patients not receiving medical care within a three-year period. Performs additional duties as assigned by Supervisor. Minimum Requirement: The following are minimum requirements for appointment as a File Clerk (OA) in the Veterans Health Administration (VHA), which all applicants must met. Specialized Experience (GS-04): You must have one (1) year of general experience. General experience is progressively responsible clerical, office, or other work that indicates ability to acquire the particular knowledge and skills needed to perform the duties of the position to be filled. (CLEAR DETAILS OF EXPERIENCE REQUIRED: Your resume must show complete information for each job entry, such as beginning and ending dates of employment, duties performed, and/or total hours worked per week.) OR, Education (GS-04): Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 2 years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. NOTE: One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business or technical school. OR, Combination (GS-04): Applicants may also combine education and experience to qualify at this level. You must have equivalent combinations of successfully completed post-high school education and experience to meet total experience requirements. (UNOFFICIAL TRANSCRIPT REQUIRED: If you do not submit your transcript, your application may not be reviewed.) AND TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalComputer SkillsCustomer Service (Clerical/Technical)Information Management IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work with computers is mainly sedentary in an office environment. However, paper mail/records retrieval, filing, and management involves long hours of standing, with extensive bending, reaching, lifting, stooping, pulling, and other physical exertion or strain.
