This position serves as a Program Support Assistant(OA) located in the Administration Department at the Warm Springs Service Unit. This position reports to the Health System Specialist (CEO) or designee.
Duties
Independently answers routine inquiries regarding service unit policies, procedures, records or programs.
Schedules conferences and meetings, arranging for conference rooms, seating arrangements, equipment, etc. Ensures that materials needed for review are prepared in advance of meetings. Prepares reports and minutes following proceedings.
Assists in resolving an HR issue and/or to facilitate the completion of a work action. Keeps an up-to-date accurate log of personnel actions, recruitment, resignations, terminations, and promotions. Reviews performance evaluations to ensure all elements and standards of each position are complete and accurate.
Aids in strategic recruitment planning and prepares all documentation required to support recruitment actions. Requests personnel actions via personnel/payroll processing system.
Initiates, receives, reviews and corrects background investigations and issues HSPD-12 PIV badges.
Maintains personnel actions, position descriptions, mandatory in-service documentation, and all required documents as needed for/by accrediting agency. Responsible for travel, timekeeping, training, personnel, and program files.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
GS-07: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least GS-06 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Performing technical and administrative tasks in support of the unit providing correspondence management, office automation, data collection, and tracking information; and performing specialized tasks in support of the human resources office such as, requesting personnel actions, examining the accuracy of Personnel Action Requests covering all types of personnel and payroll actions, advising and assisting managers with drafting requests and follows up on pending and returned actions in automated systems.
GS-08: Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least GS-07 grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Advising managers on recruitment strategies; assisting hiring managers on recruitment alternatives, developing recruitment strategies and preparing and implementing recruitment plans; providing assistance with background investigations; reviewing performance evaluations to ensure completeness, accuracy and timeliness; developing database to efficiently log and track various actions; and making recommendations in establishing priorities on administrative matters.
Proficiency Requirements (all grades)
In addition to meeting experience or education requirements, applicants for this position must show possession of Office Automation (OA) skills. This position requires the skill of a qualified typist. In addition to meeting experience or education requirements, you must be able to type at least 40 words per minute (based on a 5-minute sample with 3 or fewer errors). All candidates must self-certify their typing ability when completing the occupational questionnaire.
Time In Grade
Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).
