These positions are located within the Health Information Management Section of the Medical Administration Service at the VA Illiana Health Care System in Danville, IL. The File Clerk performs work related to the acquisition of program information to support the technical activities of document scanning, file room and medical record activities.
Duties

The major duties and responsibilities include but are not limited to:
Performs administrative and medical document scanning;
Reviews all incoming documents for patient identification to aid in timely input of scanned documents and assures compliance with documentation requirements including complete signature;
Conducts quality assurance on 100% of all documentation for readability, clarity and position;
Inputs appropriate progress notes and indexes documentation according to the medical specialty;
Returns documentation to originator to complete or correct any deficiencies;
Arranges records for storage/reference, scheduled disposition and retrieval;
Determines file retention and disposal including determining applicable authorities, screening and preparation of files for retention and disposal;
Serves as guardian of records and does not allow unauthorized access;
Uses record tracking system to locate and obtain records as needed for release of information;
Assists with record retrieval for record retirement and prepares for shipment;
Photocopies records for Release of Information;
Conducts daily activities in a safe manner and is responsible for completing mandatory safety training;
Consistently communicates and treats customers (veterans, their representatives, visitors and all VA staff) in a courteous, tactful and respectful manner; and
Performs other related duties as assigned.
Work Schedule: Monday through Friday; 8:00am to 4:30pm

Qualifications
To qualify for this position at the GS-4 level, you must meet one of the following:
Experience: You must have at least one (1) full year of general experience in a position that was progressively responsible clerical, office or other work that indicates your ability to acquire the particular knowledge and skills needed to perform the duties of the File Clerk position. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Education: Successfully completed two (2) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. NOTE: Transcripts (unofficial or official) must be submitted with your application materials. Education cannot be credited without documentation.

Combination: Equivalent combinations of successfully completed post-high school education (beyond the first year) and general experience, as described above, which meet the total experience requirements for this grade level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Work involves repetitive action in administrative and medical scanning and in copying records. Work involves in-depth reading to determine content of records. Work is stressful based on stringent time standards to meet VHA requirements and large amounts of work to be completed. Work may involve bending, stretching, stooping, pulling and pushing of records on the shelves. It may involve the use of a step stool to reach records on the top shelves and may on occasion involve lifting up to 25 pounds. It involves standing and walking or climbing stairs.
Work is normally performed in an office setting that is adequately lighted, heated and ventilated. It involves working in narrow aisles to file and retrieve records. Work involves daily travel between buildings in all types of weather.
