This position serves as program support assistant for Operations and Specialty Care in Patient Care Services, actively participating the management in of a variety of technical and administrative functions, this includes support to a nursing service line. The position attends to the complex program standards and reporting requirements, as well as to efficient operations which meet supervisory as well as customer needs.
Duties
Duties may include, but are not limited to the following:
The incumbent will interface and be considered as an expert on a variety of computer software programs such as Microsoft Word, Excel, PowerPoint, Access and will be highly proficient in the use of VISTA, CPRS for purposes of preparing reports, documentation, data tracking, record keeping, and assisting patients and staff. This also includes special programs applications which require technical expertise in data entry, retrieval and transmission for accurate workload accounting data reconciliation and reporting.
Maintain a complete background of hard drive and assures security of computer data.
Accurately entering, retrieving, transmitting required data and reconciles data for accuracy of workload' prepares status reports, maintains records, contracts, correspondence.
Prepares various reporting documents and utilizing data obtained from a variety of sources.
Independently calculate/computes, prepares and distributes various reports and special analyses or reviews by the hospital and service administrative staff and program officials assuring accuracy , completeness and timeliness.
Provides primary support for service including coordinating communications for staff and patients/families; prioritizing messages and notifying staff appropriately for necessary actions.
Entering and retrieving patient/program data assimilates reports.
Coordinates meetings manages inquiries and receives and problem solves customer concerns and refers to program official as appropriate.
Provides clerical duties such as timekeeping, faxing, filing, typing, using a computer applications, preparing clinical and administrative records/charts, assuring accurate and prompt communications, coordinating meets efficiently, maintaining safe work environment, completing work orders, copying, etc.
Provides support for PCS including support to units, supervisors and other associated programs, and serves as backup for other section staff to assure workload is completed.
Maintains confidentiality of sensitive information at all times in accordance with medical center policy, directive , Privacy Act and other applicable requirements.
Assumes responsibility for other duties when assigned or required to support the organization's mission.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized experience is defined as experience operating a variety of technical equipment, i.e., PC in a Windows environment, calculator, copier, fax and other related computer applications; prepare correspondence and reports ensuring correct grammar, spelling punctuation and in correct format; accurate record keeping and maintain a calendar of required reports and ensure proper completion.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is mostly sedentary but requires walking, standing, bending and carrying light items such as books, papers, office supplies, and Telehealth equipment. Nos special physical demands are required to perform the work. The incumbent must be flexible in adjusting to constant changes in the workload.
