The Lead Advanced Medical Support Assistant (AMSA) position serves as the lead support for all Advanced Medical Support Assistant (AMSA) staff and is a foundational position within the Primary Care Service at the Cincinnati VA Medical Center.

Duties

Major Duties: The Lead MSA coordinates with the patient care team to review the clinic utilization by using various reports (e.g., Clinic Utilization Statistical Summary), ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments. The incumbent admits and discharges patients to both Residential and Inpatient Units along with working closely with outside organizations to secure medical care for our patients. Incumbent serves as subject matter expert in rules and regulations of FED Traveler and assists the clinicians in completing their travel requests. The incumbent develop/maintains effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; facilitate/process secure messaging with the patient and team; notify patients of normal lab results; develop and manage a tracking system for follow up care such as consults, tests, etc.). Other assignments at this level include, but are not limited to: participating in team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self­-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for patient visit; managing electronic wait list to verify and validate accuracy and resolve issues; participating and providing input in problem solving on operational issues or procedures in team meetings, performing administrative follow up actions; participating in and independently following up on team meetings by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested; educating providers about shared patients (those who receive their care at multiple VAs or those who have care in the community) and bringing to the attention of the provider. Personally greets veterans into the clinic in a manner to put them at ease. Gives assistance and directions as needed. Is responsible for making sure that registration and insurance cards information are entered into the computer. Processes all Release of Information requests in a timely manner following the Act (HIPAA) guidelines. Schedules next appointments or consultations in the computer following ACA principles and schedules all patient travel timely. The Lead MSA is responsible to keep a supply inventory and is assigned a Purchase Card. Takes minutes of various meetings. The Advanced MSA is the Unit timekeeper. Ensures timely accuracy of data entered in VISTA. Performs other related duties as assigned. Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Proficient in spoken and written English Experience: Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR Education: One year above high school (you must provide transcripts for verification if using this as meeting the basic requirement); OR Experience/Education Combination: Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable (you must provide transcripts for verification if using this as meeting the basic requirement). May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: To qualify for the GS-07 level, you must have one year of experience equivalent to the GS-6 grade level. Experience at the GS-6 includes but is not limited to: participating in team huddles and team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for the patient visit/procedure (e.g., X-ray, lab work); managing electronic wait list to verify and validate accuracy and resolve issues; participating and providing input in problem solving on operational issues or procedures in team meetings, performing administrative follow up actions; participating in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested; educating providers about shared patients (those who receive their care at multiple Vas or those who have care in the community) and bringing to the attention of the provider. Candidates must also demonstrate all of the knowledge, skills, and abilities below: Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources. Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting. Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines. Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff. Ability to provide staff development and training. Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics. Physical Requirements: The position involves a great deal of mobility within the medical center. Must be able to operate a computer terminal and be able to manage multiple activities at one time. May need to carry medical records weighing 5 to 10 pounds. Incumbent is required to sit for various lengths of time as well as some bending and lifting. May work at top speed for several hours at a time.
