The VA Northeast Ohio Healthcare System is recruiting for a Lead Mail Assistant. The Lead Mail Assistant will function in Logistics Service.
Duties
Duties of a Lead Mail Assistant includes, but are not limited to:
Coordinates the workflow within the mailroom and UPS processing area, to meet the organizational vision of the facility team consist of five mailroom team members.
Ensure that the organization's strategic plan, mission, vision and values are communicated to the team and integrated into the teams strategies, goals, objectives, work plans and work products and services; Articulates and communicates to the team the assignment, project, problem to be solved, actionable events, milestones, and/or program issues under review, and deadlines and time frames for completion.
Leads the team in: identifying, distributing and balancing workload and tasks among employees in accordance with established work flow, skill level and/or occupational specialization; making adjustments to accomplish the workload in accordance with established priorities to ensure timely accomplishment of assigned team tasks; and ensuring that each employee has an integral role in developing the final team product.
Serve as coach, facilitator and/or negotiator in coordinating team initiatives and in consensus building activities among team members.
Provides mail-postal services team leader management oversight for the Mail Communications Center, V A mailroom and desk meter designated staff at Wade Park, Northeast Ohio Medical Center.
Provide oversight to mail communications center procurements and contracting for services, including preparing procurement requests, evaluating proposals for work.
Provide team leadership and direction to all mail team staff to ensure all in- bound/out bound mail is processed accurately, does audits on mail streams, and in a timely manner. Ensure mail-related needs of the VA facilities and outlining clinics are met and coordinates all mail operations.
Drafts mail policies and procedures; trains mail staff on processes and procedures.
Provide advice and guidance on the interpretation and applications of mail-postal directives and instructions.
Performs tasks as mail team leader, to keep functions running smooth and reduce errors; instructs/monitors/spot checks-audits mail staff; coordinates functions coverage' to reduce any disruption of services. Responsible for assessing vendor maintenance current and future mail equipment utilizations for facility needs, including mailroom and VA clinics.
Work Schedule: Monday - Friday 7:00 am to 3:30 pm, Monday - Friday 7:30 am to 4:00 pm, Monday - Friday 8:00 am to 4:30 pm

Qualifications
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 6 position you must have served 52 weeks at the GS 5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience and/or education as described below:GS-5 Specialized experience: You must have one year of specialized experience. Examples of experience would typically include, but are not limited to: Skills using office automation equipment and software to enter, gather, and organize information; Operating mail processing equipment, sort/route mail, typing, and mail processing.
Physical Requirements: Work is performed mostly inside while sitting or standing, with minor stooping and/or lifting to 70 pounds of mail packages. At times, physically challenging and some physical efforts may be required. Work is generally performed in an office setting with adequate light, heat, and ventilation. Will be responsible for building accessibility so the U.S. mail truck pick-up and outgoing mail can be picked-up without delay) outside exposes incumbent to all types of inclement weather, i.e., heat, cold, rain, snow, wind, etc. Special safety precautions are required. The employee is required to use protective gear such as aprons, gloves, goggles, or shields during equipment operations.
