This advanced level of the position. The AMSA serves as an Advanced Medical Support Assistant (AMSA) assigned to a non-PACT team assignment in an administrative service area. Employee Occupational Health, Environmental Registry and/or Compensation and Pension. The AMSA will perform a wide range of administrative support duties to maintain program operations in the specific work unit(s). Primary work area will be the Employee Occupational Health Department, but will cover other admin areas.
Duties
The employee is the first contact with guests to the work area and is responsible for greeting them, determining reason for visit, checking them in, providing the appropriate paperwork; providing instruction about the paperwork and for directing the potential employees in next steps. The employee is required to communicate with other members of the team in order to maintain workflow through the area.
The employee is the primary administrative staff member in the work area and is tasked with medical records management including obtaining the appropriate release of information according to VHA policy and procedures.
The employee will be responsible for tasks specific to the area of focus (ie: EOH, Environmental Registry and/or Compensation and Pension). Tasks may include data abstraction, pulling patient interest lists, schedules, contacting patients to schedule exams in the appropriate area.
The AMSA will assist in preparation of spreadsheets and reports for their work unit, PCSL and Facility Leadership. S/he performs other duties related to office management as directed by the Administrative Officer of Primary Care.
This includes ordering office supplies, requesting equipment via established workflows, pickup and deliver mail in the work unit, identify maintenance needs and enter appropriate work orders.
Maintain awareness of potential safety issues and notify supervisor and other services as dictated by the situation.
The employee may be tasked with other duties as assigned by supervisor and/or to meet facility needs.
Employee plans and organizes work with general assistance from the supervisor as to meet local and VA-wide time frames to complete analysis requirements, reports and special assignments and only refers to the non-routine and high technical problems to his/her supervisor.
The incumbent is responsible for reporting backlogs, difficulties in meeting deadlines, uncooperative physicians, or difficulty in securing information from clinicians or the record. Is responsible for maintaining the confidentiality of information obtained to carry out required duties.
Routinely communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitive information. Otherwise, works independently making decisions based on guidelines, precedence and regulations and performs duties in such a manner that only minimal supervision is required.

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education.(1) Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,(2) Education. One year above high school; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).Grade Determinations:
Experience. One year of experience equivalent to the GS-5 grade level.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate [all of] the KSAs below:
Ability to collaborate and communicate with a wide range of medical clinicians across multiple disciplines (e.g. medical doctors, nurse practitioners, physician assistants, psychologists, psychiatrists, social workers, clinical pharmacists, and nursing staff) to accomplish team goal setting to ensure medical care to patients is met.
Ability to independently set priorities and organize work to meet deadlines, ensuring compliance with established processes, policies, and regulations.
Ability to communicate tactfully and effectively, electronically, by phone, in person, and in writing, with internal and external customers. This may include preparing reports in various formats and presenting data to various organizational levels, as well as resolving patient concerns.
Advanced knowledge of the technical health care process including, but not limited to, scheduling across interdisciplinary coordinated care delivery and/or care in the community models and patient health care portals as it relates to access to care.
Advanced knowledge of policies and procedures associated with interdisciplinary coordinated care delivery and/or care in the community operational activities that affect patient flow, and patient support care administrative functions to include, but not limited to appointment cycles, outside patient referrals, follow-up care, overbooking, provider availability, etc.
Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
Preferred Experience: One year of experience that equips the candidate with the following:
Operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports.
Schedule medical appointments in a clinical setting.
Work independently in the accomplishment of a wide variety of duties performing patient support work.
Communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers.
Customer service with the ability to identify customer concerns and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution.

Physical Requirements: The Medical Support Assistant work is mostly sedentary; however, some walking; standing, and carrying light items are required. Light filing, sometimes involving working close to the floor, is involved. Wrist and back protection can be provided to minimize the risks associated with prolonged use of automated data processing equipment.
