This position is located in the Facilities Management Service at VA Beckley Health Care System - Beckley VA Medical Center in Beckley, WV. The Secretary (OA) serves as the secretary for the Facilities Management Service Line (FMSL) Chief with the responsibility of providing or obtaining a variety of administrative support services essential to the operation of the service line.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Major duties and responsibilities include but not limited to: Preparing a wide variety of recurring and nonrecurring correspondence, reports, and other documents and reviews and finalizes documents prepared by others which may include technical terminology Reviewing and processing incoming and outgoing correspondence, materials, publications, regulations, and directives Receiving telephone calls, greets visitors, and ascertains the nature of the calls or visits Maintaining supervisor's calendar, coordinating meeting arrangements, and scheduling meetings and conferences Establishing, updating, and maintaining office procedures and records of various types that may be needed or will assist in the efficient operation of the office Making travel arrangements, such as scheduling transportation, and preparing travel requests based on general travel intentions, known preferences of traveler, and in accordance with appropriate travel regulations Using a variety of software to create, format, modify, edit, and print letters, reports, memos, and other textual documents Serving as the official timekeeper for approximately 100 employees of the Maintenance and Operations Team, Biomedical Engineering Team, Sanitation and Linen Team, Projects Team and Engineering Business Office Serving as Records Liaison Officer for Facilities Management Service Line Attending training on clerical and administrative procedures for timekeeping, record keeping and completion of forms Converting and tracking 2237 requests initiated by staff members and notifies approving officials when ready for signature Performing other directly related duties as assigned Work Schedule: Monday to Friday; 08:00 a.m. to 04:30 p.m. Recruitment & Relocation Incentives: Not authorized Critical Skills Incentive (CSI): Not Approved Financial Disclosure Report: Not Required

Minimum Requirement: The following are minimum requirements for appointment as a Secretary (OA) in the Veterans Health Administration (VHA), which all applicants must met. Specialized Experience (GS-05): You must have one (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (i.e., GS-04). Qualifying examples of specialized experience would typically include but are not limited to: performing administrative/clerical duties in an office setting; utilizing standard office equipment and various software programs to perform a substantial range of office automation support; and communicating with customers and office staff in person and written format. (CLEAR DETAILS OF EXPERIENCE REQUIRED: Your resume must show complete information for each job entry, such as beginning and ending dates of employment, duties performed, and/or total hours worked per week.) OR, Education (GS-05): Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of successfully completed education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. NOTE: One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business or technical school. OR, Combination (GS-05): Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education as described above. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (UNOFFICIAL TRANSCRIPT REQUIRED: If you do not submit your transcript, your application may not be reviewed.) AND TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. You will be rated on the following Competencies as part of the assessment questionnaire for this position: ClericalCommunicationsComputer SkillsMeet deadlinesWriting IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary. May require some walking, standing, bending, climbing stairs, and carrying and/or lifting of light items such as papers and books. No special physical demands are required to perform the work.
