The employee serves as the Extended Care Program Assistant as a technical assistant to the Associate Chief of Staff and the Administrative Officer (AO) to ensure efficient operation of the Extended Care Business Office and Extended Care Service Line.
This position is located within the Office of the Associate Chief of Staff (ACOS) in the Extended Care Service at the VA New Jersey Health Care System in Lyons, New Jersey.
Duties

Duties include but may be limited to:
Collects, compiles, and tracks data and statistical information in support of all Extended Care programs which includes Hospice and Palliative Care, Community Care, Home Based Primary Care (HBPC) as well as supporting the operations and staff in the Community Living Center (CLC).
Establishes protocols for incoming data, organizes computerized data sets, and retrieves computerized data.
Maintains databases and spreadsheets and tracks consults and their outcomes.
Prepares statistical reports, including quantitative and qualitative methods for the assessment and improvement of program effectiveness.
Establishes protocols and assists in the planning, review and reporting of data/statistical results of program/project studies.
Assists in creation and/or implementation and enforcement of new Standard Operating Procedures (SOP)/Protocols.
Coordinates the hiring, scheduling, and time and attendance for the Medical Officers of the Day (MODs).
Monitors staff completion of all mandatory education requirements.
Works with the Extended Care staff to remind them of education opportunities and trainings.
Troubleshoots electronic training problems and trains staff on the use of online educational modules.
Facilitates new employee local orientation to the service line ensuring they have computer access, identification badges, etc.
Performs primary timekeeping duties.
Serves as backup to the Administrative Officer during absences.
Completes and circulates bi-weekly and monthly meetings for facility committees.
Coordinates off tour coverage for the VA NJ Healthcare System Lyons campus.
Tracks and files all correspondence.
Performs other duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position, applicant(s) must meet the specialized experience described below:
SPECIALIZED EXPERIENCE: You must have at least one (1) year of specialized experience equivalent to the next lower grade level (GS-5) in Federal service that has equipped you with the particular knowledge, skills, and abilities to successfully perform the duties of the Program Assistant position, and that is typically in or related to the work of the position to be filled. Specialized experience includes providing clerical, administrative and technical support for the management of various programs; maintaining databases and files; utilizing a variety of software programs; performing data collection and analysis; compiling data for reports; and preparing a variety of correspondence. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.
