The incumbent serves as a Supervisory Medical Support Assistant within Radiology Department (which includes the Nuclear Medicine Service) under the direct supervision of the Administrative Officer, and is responsible for full supervision of all MSAs and Reading Room Coordinator-MSA.

Duties

The Supervisory Medical Support Assistant will perform administrative support duties that may be performed in a Clinic Based Outpatient Clinic (CBOC), Inpatient or Outpatient Clinic. The Supervisory MSA at this level plans and directs programs at a medical center and/or satellite outpatient clinic and is delegated full supervisory responsibility. Assignments at this level include but may not be limited to: assigning and evaluating the work of subordinate staff; resolving complex problems to ensure that patient services are met; evaluating new products, equipment, and systems in order to make recommendations for improved operations; identifying educational and training needs; making final decisions on selections; evaluating performance; and taking disciplinary action when necessary. The Supervisory MSA is delegated full administrative responsibility for planning and directing the MSA's activities. The Supervisory MSA is responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management. Supervisory Controls: Employee plans and organizes work and acts independently in daily operations, resolving issues under the guidance and supervision of the Radiology Service Administrative Officer and the Service Chief. He/She meets local, network and VA time frames to complete analysis requirements, reports and special assignments. Employee provides input for non-routine unusual circumstances to AO/Service Chief or designee, Radiology Service management team for further discussion. The employee is responsible for reporting and managing backlogs, difficulties in meeting deadlines, and need for support to the management team. The employee is responsible for maintaining the confidentiality of information obtained to carry out required duties. Routinely communicates with management team, otherwise, works independently making decisions based on guidelines, precedents and regulations and performs duties in such a manner that little to no supervision is required. Customer Service: Employee strives to meet the needs of internal and external customers while supporting VA missions. He/She must establish harmonious working relationships within the organization, the general public and outside agencies. These contacts influence the public image of the facility and agency. Activities have a direct impact on timely healthcare to our patients, on the interdisciplinary teams in managing and improving processes, in the capture of workload data, in the proper functioning of the primary care service and in the efficient and accurate scheduling of patient appointments. Communicates and treats all customers, internal and external, in a courteous, tactful, and respectful manner. Provides customers consistent Information according to established policies and procedures. Handles conflict and problems in a constructive and appropriate manner. Sensitive to the special needs of all patients in respect to age, developmental requirements, cultural factors, and military service. Privacy and Information Security: Protecting the data from unauthorized release or from loss, alteration, or unauthorized deletion. Following applicable regulations and instructions regarding access to computerized files, release of access codes, etc. as set out in the computer access agreement which the employee signs. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/18/2024. COVERAGE: The following are requirements for appointment as a Medical Support Assistant (MSA) in the Veterans Health Administration (VHA). These requirements apply to all VHA MSAs in the General Schedule (GS)-679 series. Basic Requirements: Citizenship: Citizen of the United States. Experience and/or Education Experience. Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or Education. One year above high school; or Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005. GRADE REQUIREMENTS Creditable Experience Knowledge of Current MSA Practices. To be creditable, the experience must have demonstrated the knowledge, skills, and abilities (KSAs) associated with current MSA responsibilities. Experience satisfying this requirement may be paid/non-paid employment as a MSA. Quality of Experience. Qualifying experience must be at a level comparable to MSA experience at the next lower grade level. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time. Part-Time Experience. Part-time experience as a MSA is creditable according to its relationship to the full-time workweek. For example, a MSA employed 20 hours a week, or on a 1/2-time basis, would receive 1 full-time workweek of credit for each 2 weeks of service. GS-8 Supervisory MSA Experience. One year of experience equivalent to the next lower grade level (GS-07). Assignment. Supervisory MSAs at this level plan and direct programs at medical centers and/or satellite outpatient clinics and have full supervisory responsibility for supervising at least one subordinate team leader or supervisor. Assignments at this level include, but are not limited to: assigning and evaluating the work of subordinate staff; resolving complex problems to ensure patient services are met; evaluating new products, equipment, and systems in order to make recommendations for improved operations; identifying educational or training needs; making final decisions on selections; evaluating performance, and taking disciplinary action when necessary. The employee has full administrative and professional responsibility for planning and directing the MSA's activities. Responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management. For all assignments above the full performance level, the higher level duties must consist of significant scope, administrative independence, complexity (difficulty) and range of variety as described in this standard at the specified grade level and be performed by the incumbent at least 25% of the time. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below: Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training. Ability to delegate authority, evaluate and oversee people and programs, accomplish program goals, and adapt to changing priorities. However, some walking, standing, bending and carrying light items is required.
