The Program Support Assistant (OA) position, is located in Medical Service at the Lt. Col. Luke Weathers VA Medical Center located in Memphis, TN, The position provides assistance to the Chief, Medical Service in providing administrative support to select clinical and administrative programs and areas.

Duties

The Program Support Assistant performs a wide variety of administrative and support tasks associated with maintaining the work of the various programs and sections that comprise Medical Service. The major duties and responsibilities include but are not limited to: TMS administrator, responsible for assigning medical providers assigned mandatory training. Keep track of Medical Service daily suspenses. Pull peer review charts for over 60 professional medical providers. Monitor performance by direct observation of clerks and data gathering on missed opportunities. Conducts prospective reviews to ensure no buildup of patients waiting for new visits, or increases in missed opportunities. Assists with the organizing for scheduled events such as the System Redesign Fair, and/or other related activities. Assists with other initiatives in Medical Service to Include Hematology/Oncology Section and Gastroenterology. Problem solves issues with minimal direction and supervision. Accesses and monitor clinical appointment information, and other VA healthcare statistics through use of VISTA/CPRS and/or other agency computer resources. Collects and provides data which can be utilized for evaluating the effectiveness of advance access practice, including clinic wait times, and next available appointments for patients. Assist with design and implementation of corrections to meet VA Performance Improvement and Advanced Clinic Access goals. Provides the customer with consistent information according to established policies and procedures. Handles conflict and problems in dealing with customer constructively and appropriately. Work Schedule: Monday - Friday, 0730 - 4:00p Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/22/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of VA regulations, System Redesign program guidelines, goals, policy priorities, medical terminology. Knowledge of the origination functions and procedures of the office of the Chief, Medicine Service. Knowledge of appointment scheduling; data retrieval sources and methods. Knowledge of office procedures and filing system. Knowledge of substantive programs of Medicine Service as they relate to the clerical and administrative functions of the office. Assemble information for use in reports, follow-up on commitments made in meetings and refer nonroutine requests to appropriate staff member. Knowledge of PC computer equipment, printers, electronic typewriters and software to provide staff support and to accomplish specific programs and projects. Knowledge of organization policies and procedures and personnel rules and regulations in order to perform the administrative needs required. Knowledge of medical terminology enabling incumbent to transcribe, research, and retrieve information as requested by the Service Chief. Ability to transmit, receive, and acknowledge electronic mail. Knowledge of ADPAC security regulations and safety regulations defined for the service. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is primarily sedentary. Typically, the employee sits comfortably to do the work. However, there may be some standing. walking, bending. and carrying light items such as papers, books and light office equipment weighing less than five pounds.
