The Salem VA is seeking a Lead Medical Support Assistant position. The incumbent serves as a Lead Medical Support Assistant for Primary Care areas in Access and Scheduling Management Service (ASMS).
Duties
The Lead AMSA monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow.
Responsibilities includes but are not limited to:
Assuring coverage of all areas of responsibility
Conducting ongoing reviews to ensure quality of work
Ensuring accurate and timely scheduling of appointments
Providing guidance to staff member to include changes in policies and procedures
Distributing and balancing workload
Creating and maintaining employee work schedules
Orienting and providing on-the-job training for new and current employees
Organizing the work structure of assigned areas
Ensuring all training requirements are met
Acting as liaison between AMSA and staff in order to resolve day to day conflicts
Work Schedule: Monday- Friday; 07:45-1630

Qualifications
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
English Language Proficiency: Per VA Handbook 5005, Part II, Chapter 3, Section A, Paragraph 3j: No person will be appointed under authority of 38 U.S.C., chapter 73 or 74, to serve in a direct patient-care capacity in VHA who is not proficient in written and spoken English.
Experience and Education: Do you have six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. One year above high school; OR Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable?
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).GS-7 Grade Determinations: Have one year of experience equivalent to the GS-6 grade level. Examples of experience would include but not be limited to; assignment of workflow in an interdisciplinary unit; responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings, etc.
Demonstrated Knowledge, Skills, and Abilities (KSAs):
Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff.
Ability to provide staff development and training.
Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.
Preferred Experience: Scheduling Experience, Administrative Role and Experience to follow complex scheduling instruction and mentor the team members. Assist with the day to day work needs and other work as assigned.

Physical Requirements: Work is performed in an office setting and is primarily sedentary. There is some standing, walking, bending, and carrying of items, including folders, supplies, etc. The position requires ready mobility between facility buildings and other locations as required. Incumbent must be continually alert, flexible, and sensitive to the customer needs, in control of his/her emotions, and able to respond positively and appropriately to the patients served.
