About the Position: This position is with the Defense Health Agency, serving as a Residency Program Assistant performing a variety of administrative assistant duties to the Program Director at 375TH MDG Scott AFB,
Duties
Assist the Director in administering the Residency program by providing technical and administrative support in the areas of accreditation, program requirements, and academic records.
Prepare annual surveys and utilizes knowledge of computer and database applications to update and maintain student registration information.
Maintain contact, both orally and in writing, with incoming and outgoing students for the purposes of course set-up, accomplishment, critique, and follow up.
Coordinate the national in-training examination making necessary arrangements for payment, room reservations, and acceptance of confidential test material.
Proctor the in-training examination. Prepare comprehensive after-action reports, including recommendations to improve coordination, planning, administration and management.
Interpret guidance from all levels of the hospital for incorporation into the curriculum planning guide.
Prepare proper documentation to set up an agreement with the different hospitals used for Residency rotations and ensures residents are properly credentialed for rotation.
Assist in analyzing program content, and plans for the development of annual and long range objectives.
Manage Residency Program resource requirements to include estimates for TDY, travel, contract costs, and necessary equipment and supplies.
Prepare financial after-action reports which include analyses and recommendations for cost savings.
Utilize database software to enter, revise, sort and retrieve data for training files system, historical training files, and tracking results of resident board certifying examinations.
Represent the Director, at meetings attended by representatives of the assigned work area and other DOD agencies.
Recognize potential problem areas caused by changes in schedules, the number of physicians in the program, or other conditions.
Interpret guides to ensure compliance with program operating requirements such as preparing and submitting recurring and/or special reports; processing personnel actions and agreements.
File and retrieve patient charts and maintains physician requests for patient scans and films from other medical treatment facilities.
Develop and maintain suspense files to ensure compliance with scheduled formal performance evaluation requirements established by medical oversight committees.
Finalize formal evaluations from working papers prepared by professional evaluators.
Manage the recruitment and selection processes to include the program database.
Maintain current knowledge on program areas accreditation requirements and notifies appropriate individuals/offices of changes that affect accreditation.
Prepare the assignment rotation rosters for residents and interns utilizing individual preference statements along with curricula and plans developed by the faculty.

- This position has a mandatory seasonal influenza vaccination requirement and is therefore subject to annual seasonal influenza vaccinations.
- This position requires the incumbent to have tuberculosis testing.

Specialized Experience: One year of specialized experience which includes administrative assistant duties to support and assist academic and training programs in a healthcare field; utilizing computer or database applications to develop and/or maintain files; preparing a variety of reports; and creating and maintaining schedules and templates in a Medical Treatment Facility. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).

Education: One full year of graduate level education in a field which demonstrates the knowledge, skills, and abilities necessary to do the work of the position, such as Healthcare Administration.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide the total number of completed graduate semester hours (or equivalent) by 18. Add the two percentages.
