This position serves as the principal clerical and administrative support position in the Office of the Director, by carrying out and coordinating all the clerical and day-to-day administrative support activities which are typically required to accomplish the work of the Associate Director. The primary purpose of this position is to perform numerous tasks which are dissimilar in kind, but which have in common the purpose of assisting the work of Office of the Director in this organization.
Duties
Major duties and responsibilities of the position include, but may not be limited to:
Provides clerical and administrative assistance to the Associate Director.
Controls activities schedule and reminds Associate Director and other Quad members of appointments.
In the absence of the Associate Director, assumes responsibility for ensuring that the administrative flow is continued in a timely manner, determining which items can be referred to other members of the management staff.
Obtains information required by management from various sources within the VA, requiring a comprehensive knowledge of the VA's complex organizational structure.
Composes correspondence on own initiative, based on a knowledge of the views and desires of the Associate Director and other Quad members.
Prepares meeting agendas and records and distributes meeting minutes for a range of complex executive level meetings to include but not limited to; the Resource Executive Council and all chartered workgroups by the council, and Space Management Committee
Prepares regular and special records such as but not limited to time/attendance, leave, degree of use of filing space, and amount of material present in the offices.
Follows up on projects resulting from meetings to ensure that schedules are met and reports progress to managers.
Work Schedule: Monday-Friday, 8:00am to 4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/06/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Typing Proficiency Requirement: In addition to meeting experience or education requirements, applicants must also be able to type 40 words per minute. Words per minute are based on a 5 minute sample with three or fewer errors.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Monitors commitments and deadlines through completion; take, compose and record meeting minutes and/or recordings; manages administrative operations by coordinating the work of the office with the work of other offices; provides advice to other peers and staff regarding various business and facility matters; operates office automation and computer systems to produce correspondence.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc. No special physical demands are required to perform the work.
