Duties

Exercise control over the Area Managers' calendar. Schedule commitments for appointments, travel, and other official contacts and establishes priorities and reschedules appointments as necessary. Make arrangements for commitments such as coordinating travel, providing agendas, scheduling conference rooms, making reminder calls, gathering and providing information and documents pertaining to the appointment, and attending the appointment in order to take meeting minutes and follow-up on assigned action items. Provide advice and guidance regarding administrative procedures, office policies, and correspondence practices to administrative support positions throughout WCAO. Perform general secretarial and administrative support activities including time and attendance processing and coordination; providing telephone coverage, handling requests and inquiries when possible; making travel arrangements; processing and coordinating training and awards requests; preparing personnel actions and coordinating and/or preparing related documentation; maintaining office files; making arrangements for meetings, conferences; distributing mail; etc. Use word processing software to produce a wide range of documents. Develop, implement, and/or modify a workload management system and process for WCAO, which includes effective document tracking, filing and retrieval, and deadline and action item tracking.

Qualifications

In order to be rated as qualified for this position, the HR Office must be able to determine that you meet the specialized experience requirement - this information must be clearly supported in the resume. To qualify at the GS-06, you must possess one year of Specialized experience equivalent in difficulty and complexity to at least the GS-05 level in federal service. Specialized Experience is further defined as having performed five of the following duties: 1. Administrative and clerical support activities such as calendar management, mail distribution, filing, data entry, answering and directing phone calls. 2. Operating computer software packages such as Microsoft Suite. 3. Making travel and lodging arrangements. 4. Review time and attendance for accuracy. 5. Tracking and monitoring action items. 6. Review and edits documents for clarity, grammar, punctuation, spelling, and required formats. 7. Establishing office procedures and recommending improvements as needed. To qualify at the GS-07, you must possess one year of Specialized experience equivalent in difficulty and complexity to at least the GS-06 level in federal service. Specialized Experience is further defined as having performed six or more of the following duties: 1. Administrative and clerical support activities such as calendar management, mail distribution, filing, data entry, answering and directing phone calls. 2. Operating computer software packages such as Microsoft Suite. 3. Making travel and lodging arrangements. 4. Review time and attendance for accuracy. 5. Tracking and monitoring action items. 6. Review and edits documents for clarity, grammar, punctuation, spelling, and required formats. 7. Establishing office procedures and recommending improvements as needed. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Time-In-Grade: Current career or career-conditional employees of the Federal government, or former career or career-conditional employees, who have a break in service of less than one year, are required to meet the time-in-grade restriction of one year of Federal experience at the next lower-grade, with few exceptions outlined in 5 CFR 300.603(b). You must meet all Eligibility and Qualification requirements, including time-in-grade restrictions and any selective placement factors if applicable, by 03/12/2024.
