Duties
The incumbent is responsible for planning, implementing, controlling, supporting, and coordinating administrative functions assigned to the Associate Chief of Staff (ACOS) of the NEWAC Division and other clinical leadership throughout the Division. Under limited supervision of the Administrative Officer (AO), the incumbent will perform a wide range of management duties including, but not limited to, the following:
Tracking, processing and maintaining records of Ongoing Professional Practice Evaluations (OPPE) and Focused Professional Practice Evaluations (FPPE) for providers in the NEWAC Division (30%)
- Serve as the primary point of contact for OPPE/FPPE in the NEWAC Division.
- Track rating periods for each service and pre-populate forms prior to forwarding for completion.
- Track encounter activity of new providers and initiate the FPPE process when appropriate.
- Ensure all FPPE documents are completed and submitted prior to the due date determined by the credentialing office.
- Maintain the NEWAC Division OPPE/ FPPE folder shared with the medical center credentialing office.
Recruitment, Onboarding, Offboarding of Providers (45%)
- Maintain the NEWAC provider recruitment tracking sheet.
- Assist providers with the VetPro enrolment process as needed.
- Assist clinical leadership with MSS action for open positions.
- Complete board action and market pay review forms for all physician candidates.
- Create and maintain digital file folders on all new providers.
- Be a surrogate for clinical leadership with duties involving postings and certification lists in the USA Staffing application.
- Submit EPMR Requests for new and open positions as directed.
- Initiate and track the offboarding of providers to ensure all steps are completed timely.
Physician Performance Pay (15%)
- Maintain the NEWAC Division physician performance pay folder and its contents.
- Compile and track data related to quarterly performance and activity of each NEWAC physician.
- Create new PDF signature and tracking sheets annually.
- Pre-populate forms prior to sending out for signature.
- Ensure new providers are provided with and sign physician performance documents with in 30 calendar days of being hired.
Other Duties as Assigned (10%)
- Ensure all providers have signed the Annual Physicians Agreement by the due date set forth by the Medical Center.
- Assist the Division Manager, ACOS, Chief Nurse, AO, NP/PA Leads and Service Line Managers with administrative tasks and projects as assigned.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 03/01/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-5. For a GS-9 position you must have served 52weeks at the GS-7 The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: working in an administrative setting where your responsibilities included assisting in program administration and policies; assisting in oversight and execution of other administrative responsibilities encompassing performance improvement activities; assisting in management support functions, special projects, assignments, report completion, and records management; as well as assisting in developing and implementing administrative management policies, working with management on planning organization needs, and assisting in preparing plans, goals, objectives, or criteria for management processes. Efficient in various computer programs working in an administrative setting where your responsibilities included assisting in program administration and policies; assisting in oversight and execution of other administrative responsibilities encompassing performance improvement activities; assisting in management support functions, special projects, assignments, report completion, and records management; as well as assisting in developing and implementing administrative management policies, working with management on planning organization needs, and assisting in preparing plans, goals, objectives, or criteria for management processes. Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 1 full year of progressively higher level graduate education leading to a master's degree or master's or equivalent graduate degree or LL.B or J.D. or successfully completed four (4) years of education above high school level leading to a bachelor's degree and earned Superior Academic Achievement (S.A.A). This S.A.A. is based on either (1) class standing, (2) grade-point average, or (3) honor society membership as defined in the announcement OR,

Retrieve, tack, and trend information for comprehensive reports, Comprehensive knowledge in clinical applications metadata is needed to provide information related to continued clinical operations and external requests such as JCAHO, SOARS, and other internal audits. Physical Requirements:Regular and recurring work is mostly sedentary involving sitting at a desk, although the position requires the ability to move from one geographic location of the facility to another. The incumbent works with a computer screen and keyboard. Some physical effort such as standing, walking, bending or prolonged sitting may be required. The incumbent may be exposed to walking to outlying areas. The work places no special physical demands on the employee.
