Performs a variety of administrative duties (personnel, fiscal, administrative services, program records and reports, data processing, etc.).

Duties

The duties may include, but are not limited to: Answer telephones, respond to email, greets visitors. Prepare correspondence, memorandums, etc. ; run reports; preparing spreadsheets; maintains fleet/vehicle files. Responsible for purchasing/procurement; serve as point of contact for shipping and receiving goods. Provide logistical and administrative support for meetings, conferences, workshops, training sessions, and other events. Assist with maintaining personnel and recruitment records , including recruitment and new employee personnel folders and files. Assist with onboarding of new employees, including Identifies space assignments, office signage, coordinates office furniture moves, and assignment of telephones. Prepare and track awards; assist in the performance appraisal process. Generate SF-52’s (Request for Personnel Action) using Agency online systems; Records and tracks SF-52s. Serve as time and attendance coordinator.

Qualifications

Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement including time-in-grade restrictions, specialized experience and/or education, as defined below. TIME-IN-GRADE: Current federal employees applying for a promotion opportunity must meet time-in-grade (TIG) requirement of 52 weeks of service at the next lower grade level in the normal line of progression for the position being filled. FOR THE GS-08 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-07 level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates: Plan and complete work across a variety of administrative functions simultaneously, including inventory management, records management, procurement, fleet, property and space management, travel arrangements, human resources and distributing mail. Communicate orally and in writing to include skills such as recording and communicating messages, taking meeting minutes, drafting correspondence, and direct customer contact (via telephone and email) in support of customer service. Gather and evaluate information to prepare a variety of program documents and reports, including coordinating and consolidating comments on drafts, proficiency in proofreading documents, and determine if they are accurately completed and have been approved by appropriate officials. Analyze problems to identify significant factors, gather pertinent data, and recognize solutions. Being regarded as an expert source of information on processing transactions; completed work is reviewed for conformance with policy and regulatory requirements where numerous and varied guidelines are adapted and applied. Note: There is no education substitution for this grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
