About the Position: Performs the following clerical duties requested or directed by staff members that may include contacts that require attention or action, arranges for equipment, prepares estimate to be used in projected operating budget for supplies, equipment, etc., obtains and handles mail in a timely manner, tracks training, and prepares travel vouchers. Types a variety of correspondence, reports, etc., using automated equipment and a variety of software programs.
Duties
The incumbent must understand the Finance and Accounting cost coding system, the functions/flow of funds, the sequence required in CEFMS system and interpret the information to determine if action is applicable and accepted.
Prepares travel orders and travel vouchers for all supported employees; prepares advances when necessary; makes arrangements for government usage, and initiates all airplane, hotel and rental car reservations.
Prepares correspondence for employees requesting advanced annual and sick leave.
Reconciles discrepancies in leave and overtime payment.
Coordinates with Finance and Accounting or the Human Resources Office as necessary.
Maintains public notice mailing lists by making additions, deletions and corrections as appropriate.
Incumbent performs timekeeping and related duties, using an automated reporting system which is linked to the CEFMS system.
Incumbent will maintain a record of training requirements and aid in scheduling training.
Requirements
- Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
- This position has a Temporary Duty (TDY) or business travel requirement of up to 5% for official duties/training.
- This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5 minute sample with three or fewer errors.

In order to qualify, you must meet the education and/or experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. GS-05 Specialized Experience: One year of specialized experience which includes 1) Experience greetings customers. 2) Experience keeping a file system, digital or hard copy. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04).
OR
Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university.
OR
Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages.
GS-06 Specialized Experience: One year of specialized experience which includes 1) Experience preparing travel vouchers or orders. 2) Experience keeping a file system, digital or hard copy. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).
Some federal jobs allow you to substitute your education for the required experience in order to qualify. For this job, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted.
GS-07 Specialized Experience: One year of specialized experience which includes 1) Experience preparing travel vouchers or orders. 2) Experience keeping a file system, digital or hard copy. 3) Experience entering funding data for labor or projects.. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-06).
