This position is located within the Mental Health Care Line, VAMC Chillicothe, Ohio, and is the primary clerical and data analysis support to the Mental Health Residential Rehabilitation Treatment Program (MHRRTP) and Suicide Prevention Program Coordinator and Case Managers.

Duties

Duties include, but are not limited to: Data Collection & Tracking Support: Either through assignment by the supervisor/program coordinator(s) or their own initiative, the incumbent performs work involving the collection, compilation and/or tracking of data and statistical information in support of the organization's program operations. Assists in the planning, review and reporting of data/statistical results of programs/project studies. Patient Tracking/Database Maintenance: Incumbent is responsible for tracking of all Veterans seen as part of the Suicide Prevention Program within VAMC Chillicothe, its CBOCs (Athens, Cambridge, Lancaster, Portsmouth, Marietta and Wilmington). Maintains and manages databases which contain a wide variety of Veteran specific information and provides analysis of such information. Ensures that all information is up to date and complies with routing reports which are required by VISN and the Medical Center Director. Research/Program Resources Services and Support: Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of the organization. Assists with special research projects in support of the policy development and/or technical/program activities. Assembles and summarizes data, background information and other materials from other sources. Provides Administrative Assistance for Case Management: Provides assistance to professional and other staff members. Performs proficient clerical and assistant support, ensuring appropriate administrative processes are maintained in the programs. Maintains accurate paper and electronic files of cases. Information Receptionist: Receives and directs callers, patients, and visitors. Provides information about the organization as well as the Suicide Prevention and MHRRTP programs. Provides general telephone and visitor referral services. Directs patients, visitor and callers to appropriate staff member based on specific request or by ascertaining the nature of the call. Correspondence Preparation: Prepares, composes, or reviews correspondence prepared for the purpose of obtaining or supplying information. Composes general informational correspondence. Public Contact Work: Receives, schedules, refers and contacts members of the staff, agency and persons outside the agency ranging from other government agencies to the general public, acts as liaison to other managers and staff within the organization and provides accurate advice on procedures, reports, requirements and other matters necessary to implement the programs' policies, directives and instructions. Maintains Appointments, Calendars, Meeting Minutes and Schedules: Schedules appointments, coordinates meetings and/or schedules conferences. Provides general calendar maintenance and clerical services such as maintaining calendars and recording appointments, arranging for meetings, or following up on action items with appropriate staff members independently. Provides back-up support within the Mental Health Care Line to other clerical/administrative positions during absences, and will also be called upon by the Mental Health Care Line Manager and/or Supervisory Health Systems Specialist to assist with projects falling within their knowledge and skill levels. Provides administrative/clerical and data management support to the MHRRTP and Suicide Prevention Programs, to include but not limited to analyzing data extracts, data compilation and collection , preparation of reports, program support and administrative assistance. Based on a good working knowledge of the organization and substantive programs under the supervisor's control, the incumbent resolves problems associated with the data analyses, administrative and clerical work of the office. Customer Service: Meets the needs of customers while supporting the VA Medical Center mission. ADP Security: Protects printed and electronic files containing sensitive data in accordance with the provisions of the Privacy Act of 1974 and other applicable laws, federal regulations, VA statutes and policy, and VHA policy. Privacy Act Information: Safeguards electronic user IDs, passwords and verify codes. Work Schedule: Monday - Friday 7:30 AM - 4:30 PM Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/26/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: GS-07 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Using PC-based equipment and software to input and extract data; Conducts wide range of clerical practices and procedure sufficient to file material and obtain data from files; Assists with gathering, compiling, and evaluating data with the ability to highlight trends, identify issues, prepare presentations, and make recommendations; Ability to communicate orally technical information to a diverse group of individuals with varying levels of understanding; Ability to communicate in writing to prepare emails, letters, and reports; Ability to manage multiple projects and priorities and meet deadlines. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work.
