This position is located in the Food and Beverage Branch, Morale, Welfare and Recreation Department. The incumbent is responsible for performing administrative duties requiring a moderate level of experience and discretion in support of the Food and Beverage Branch.
Duties
The incumbent:
Assist in the formulation of local instruction and directives within the framework of local and DOD component policies concerning established social and recreational services or programs, subordinate responsibilities, reporting procedures, maintenance and other related operational requirements.
Maintain good patron and employee relations and efficient patron service.
Keep track of employee's hours and documentation on their time cards.
Responsible for the receipt of daily sales, safekeeping, deposit, and accountability of your daily funds.
Uses a computer to prepare and produce various letters, forms, reports, purchase requests, contracts and statistical data, etc.
Answer phones, keep minutes of meetings, collect all invoices, file all correspondences and assist manager with additional duties.
Maintain all Food and Beverage Branch employee's training requirements.
Requirements
- Must successfully pass the E-Verify employment verification check. Any discrepancies must be resolved as a condition of employment.
- Must meet federal suitability requirements including successful completion of background investigation.
- You must go through a Personal Identity Verification (PIV) process that requires two forms of identification from the Form I-9.
- A valid State driver's license is required to operate motor vehicles.
- Must have your salary sent to a financial institution of your choice by Direct Deposit/Electronic Funds Transfer.
Qualifications
Knowledge Required of this Position
Knowledge of DOD component MWR management procedures and general business practices related to the operational management of social and recreational programs and the effective utilization of club facilities and equipment.
Knowledge of money handling, daily audit report (DAR), deposits, filing system and inventories.
Must be familiar with Microsoft Office Suite programs and reports. Preferred to have knowledge of Rec Trac and/or similar POS systems.
Supervisory Controls
The employee works as instructed and consults with the supervisor as needed on all matter not specifically covered by operating instructions and guidelines. The employee's progress is checked, and accomplishments are reviewed for conformance with the initial specific instruction, as well as conformance with applicable standards and customer feedback.
The supervisor provides advise, assistance and support in unusual or controversial situations.
Guidelines
The incumbent shall select and apply the appropriate guide for assigned task. Unusual problems shall be referred to the Food and Beverage Branch Management personnel.
Complexity
The work involves the performance of a variety of standard Navy MWR administrative function related control and patron services.
The work involves a number of routine factors and conditions usually related to the size, mix and desires of the patron community. Decisions regarding what needs to be done are typically performed independently, other than unusual occurrences, which are then based on Management review and approval.
Scope and Effect
The work involves treating a variety of operational and administrative problems by planning, scheduling and coordinating the operation of the club social and recreational programs and effectively and efficiently using assigned facilities and equipment. It also involves resolving a variety of patron related problems, formulating directives and evaluating the adequacy of service provided.
Personal Contacts
Personal contacts are by email, telephone or in person and to include command officials, employees, patrons, vendors and other club personnel.
Purpose of Contacts
In addition to exchanging information and coordinating functions concerning established social and recreational services, the incumbent frequently suggests to Food and Beverage Management personnel to accept revised or modified schedules and plans for the betterment of the services being provided.
Physical Demands
Work frequently requires hours at varying times, to include walking, standing, sitting, stooping and occasional lifting of no more than 40 lbs. However, the work is primarily sedentary and no special demands are involved.
Work Environment
The work involves the normal discomforts associated with a club environment. The work is divided between an office (admin) and the club area both of which are usually adequately lighted, heated and ventilated.
Education
This position does not have a positive education requirement.
