This position functions as a Management and Program Support Assistant within Radiation Oncology Service (ROS) and Radiation Safety Program at San Juan VA Medical Center. The incumbent's primary responsibilities are to collect, analyze and report data and information on a variety of service and facility level initiatives; and to provide data management and administrative support to the Administrative Officer, Chief of ROS, and Radiation Safety Officer for daily operations and long-term planning.
Duties
Duties and responsibilities of this position include, but are not limited to:
Coordinates the dosimetry program according to contract specifications. Prepares and maintains a database of dosimetry participants and compliance with ALARA program and OSHA regulations
Researches, manages, and analyzes provider data for the credentialing process and makes recommendations for work flow, process improvement, and provider workload changes as needed
Participates in Radiation Safety Program meetings (including Radiation Safety Committee) and provides input in problem solving on operational issues or procedures in meetings and performing administrative follow up actions.
Generates and analyzes daily, weekly, monthly, quarterly, and annual reports as required to the Administrative Officer and Service Chief suggesting action as needed.
Utilizes various data sources such as VHA Support Service Center (VSSC), the Corporate Data Warehouse (CDW), Fileman, Strategic Analytics for Improvement and Learning (SAIL), Decision Support System (DSS), and others.
Responsible for resolving CPT, IDC, and other data entry error messages found upon generating reports from VistA and Aria for accurate workload accountability and reporting. Primary Timekeeper.
Manages contracting and procurement for large, complex procurements. This may include preparing procurement requests, evaluating proposals for work, and/or maintaining procurement and contracting records.
Work Schedule: Monday- Friday 7:00am-3:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/26/2024.
(1) Must be proficient in spoken and written English. (2) Must be proficient in spoken Spanish.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: serving as data management coordinator; collecting, analyzing and reporting data and information; analyzing program performance data to identify deficiencies and impacts that are both qualitative and quantitative in nature; providing reports including biweekly reports, open encounters, unapproved abbreviations, delinquent records, mandatory training, performance improvement measures, and budgets; providing data analysis and trends for the establishment of performance standards to promote quality and efficiency; acting as the primary liaison to handle data driven projects and communicating at meetings/briefings; coordinating activities to expedite the transfer of patients to referral centers for diagnostic and therapeutic interventions; preparing charts, graphs, and narrative information; participating in quality management, performance improvement, and strategic planning; working with the Contracting Officer's Representative (COR) to monitor contract compliance, invoices, and payment processing; obtaining and monitoring the use of services, supplies, and equipment; assisting with the scheduling and monitoring of procurement transactions; serving as the primary timekeeper; scheduling meetings, obtaining conference rooms, and arranging for equipment, services, and products.

Physical Requirements: The purpose is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items such as papers, books, small parts, or driving an automobile, etc. No special physical demands are required to perform the work.
