Duties
Receives telephone calls and screens out those which can be handled by supervisor's subordinates or other offices and tactfully refers them as appropriate. Personally takes care of matters such as providing information concerning special programs and all matters regarding handling of correspondence and meetings of the Regional Director. Maintains the Regional Director's and may maintain the Deputy Regional Director's and/or Executive Assistant's calendars and schedules appointments and conferences without prior clearance. Maintains master files of BOP program statements, operations memoranda, policy waivers and program manuals. May serve as the Administrative Remedy Coordinator and may oversee the Administrative Remedy Clerk and coordinates the regional office's responses to inmate Administrative Remedy Appeals. Maintains a log of receipt of appeals and assigns to appropriate office for response and follows up to ensure responses are timely. Prepares semiannual reports for the Regional Director.

Qualifications
To be considered for the position, you must meet the following qualification requirements: Education GS-09: Master's or equivalent graduate degree; OR 2 full years of progressively higher-level graduate education leading to such a degree; OR LL.B. or J.D., if related. GS-11: Ph.D. or equivalent doctoral degree; OR 3 full years of progressively higher-level graduate education leading to such a degree OR LL.M., if related. Such education must demonstrate the knowledge, skills, and abilities necessary to do the work. OR Experience You must have at least one year of specialized experience equivalent in difficulty and complexity to the next lower grade level in the normal line of progression for the occupation in the organization. To be creditable, this experience must have equipped the applicant with the particular qualifications required to perform successfully the duties of the position, and must typically be in or related to the position to be filled. Some examples of this qualifying experience are: GS-09:
Experience screening telephone calls and visitors to the office, referring to staff members and forwarding to the supervisor only those calls or visitors requiring that person's attention. Scheduling appointments and making commitments for the supervisor to attend meetings, luncheons, etc, without prior approval.
Experience reading all incoming correspondence, determining proper action, at times preparing answers before referring to the supervisor. Reviewing outgoing correspondence and reports, ensuring proper format, grammar and punctuation.
Experience managing an office budget, taking and distributing minutes of meetings, and maintaining supervisor’s calendars and scheduling appointments and meetings.
Experience in the use of office technology such as personal computers and prepared software, including spread sheets, data bases, work processing and desktop publishing programs.
GS-11:
Experience ensuring all support activities related to timekeeping, preparation and processing of travel documents, conference planning, arranging teleconferences, solicitation of hotel and meeting space, equipment maintenance, mail processing, correspondence, responses to telephone requests for information, and other administrative tasks are completed correctly, in a timely fashion, and in compliance with federal, and BOP regulations and policy while communicating the agency's views on current issues and programs.
Experience reviewing and revising internally distributed reports and operations manuals, forms, and correspondence for grammar, spelling, punctuation, sentence structure, clarity, and content accuracy and consistency.
Experience providing direction and guidance to support staff on procedural matters such as the proper preparation of written material and reviews work products for proper format, grammar, punctuation and typographical errors.
Experience reviewing monthly obligations for assigned cost centers. Reconciling all purchases and other obligations to the FMIS system to ensure accurate reporting of funds status.
OR Combination of Education & Experience Have a combination of education and experience. This experience must have equipped you with the qualifications to perform the major duties of this position as described above. If applicable, credit will be given for paid and unpaid experience.
