The Secretary position provides assistance to the Associate Chief of Staff, Mental Health, (ACOS, MH) who directs multiple divisions throughout the State of Alaska. The duties require knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others.
Duties

Major duties and responsibilities include but not limited to:
Collects all needed documents for recruitment packages and works with Administrative Officer to ensure it is correctly submitted to all Human Resources systems.
Prepares correspondence, reports, minutes, and records for final drafting, ensuring correct editing and formatting.
Ensures compliance with all requisite documentation for accreditation and for presentations.
Coordinates payment of accreditation dues and fees and is a purchase card holder.
Coordinating interviews, orientation, and in-processing of new employees and interns.
Ensuring appropriate rooms and equipment are reserved for meetings, conference, and lectures.
Creates and maintain all office records/documents tracking in an organized manner.
Serves as a Timekeeper and acts as alternate timekeeper as needed.
Serves as a Point of Contact for Mental Health programming, staff, visitors, and affiliated universities and colleges.
Independently teleconference, coordinates IT, A/V (projectors, smart boards), and communications (phone, videoconferencing) for Service events, ensuring proper setups and troubleshooting problems encountered in collaboration with supporting services.
Performs the annual equipment inventory and coordinates completion of this with the Logistics Department when delegated to do so.
Performs all other duties as assigned.
Work Schedule: Monday- Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position at the GS-7 level, applicants must meet the following:
Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-6) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation), GS-7 position, and that is typically in or related to the work of this position. Specialized experience includes: processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication; scheduling appointments, coordinating meetings and/or scheduling conferences; maintaining calendars and tracking suspense items. This experience must be detailed in your resume to receive credit.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work is primarily sedentary, although some slight physical effort may be required such as warehouse or office supply inventory and carrying/moving of basic equipment and other materials.
