This position is located at the VA Loma Linda Healthcare System and Community Based Outpatient Clinics (CBOCs) in the Women Veterans Health Program. This position serves as the Program's Lead ADPAC, Travel Coordinator, Event Planner and Manager, assists the Women Veterans Program Manager and Women's Health Medical Director with additional duties as assigned, such as assisting with Environment of Care Rounding to assess facilities for measures of privacy, dignity, and safety for women Veterans.
Duties
Major duties and responsibilities include:
Attempts to correct the problem and/or provide instruction as required. If the problem cannot be corrected, the incumbent/ADPAC will contact the IT Help Desk regarding computer hardware, software or network connectivity and device problem and places a local work ticket entry as needed.
Participates in an ADPAC orientation program designed to prepare him/her to carry out his/her responsibilities.
Provides mentoring and training for any alternate ADPAC and ensuring that all employees complete required training.
Ensures that all work orders that cannot be resolved at the local level be escalated to the National Help Desk.
Authorizes and provides system access, menus, etc. for all authorized employees within the incumbent area of responsibility.
Provides expert technical advice and guidance daily to employees at all levels of responsibility, resolving complex issues relating to two data processing programs and systems without higher level assistance in all but the most complicated cases.
Acquires supplies and services to meet the purchase, rental, or lease needs for the Women Veterans Health Program.
Uses different solicitation methods, ordering or reporting procedures, purchasing methods, or clauses and provisions depending on the type, quantity, dollar value, or urgency of the requirement.
Processes all requests for outreach educational materials, office supplies and other items as needed.
Uses standard approaches to perform a variety of duties related to special projects involving administrative or support issues.
Participates in the planning and conduct of special projects or studies to analyze, evaluate, and provide recommendations on administrative issues.
Reviews information and applies standard analytical techniques to develop recommendations for improvement.
Plans and manage timelines with a team of staff focused on event planning, communicating updates, scheduling meetings/rooms, keeping notes/minutes, coordinating with Public Affairs, Veterans Canteen Service, and Medical Facility leadership to plan and execute events.
Orders supplies, invitations of participants and other graphics such as decorations, banners, etc.; identification of speakers, rooms, supplies, catering, community resources, volunteers, announcements (overhead, electronic bulletin board, other means of communication,) etc.
Provides management assistance for the Women Veterans Health Program councils, task forces, committees, and meetings.
Develops internal systems to assure tracking of administrative matters to respond to inquiries concerning women Veterans from both within the Medical Center and outside organizations.
Performs other related duties as assigned.
Work Schedule: Monday through Friday from &;30am to 4:00pm.
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/20/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06 level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-06) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Administrative functions and all the outlying activities administrative and programmatic requirements.
Familiarity of overall women's veterans' health programs, principles, polices, practices, and procedures used.
Knowledge of personal computer software, including Microsoft operating systems, the Microsoft Office suite of applications, as well as various software and the performance of these duties.
Understanding of network such as communication lines, file servers, file transfers, troubleshooting, network printers, and the link to VISTA, concept hardware including hard drives, terminals, and printers.
Analyze complex information and the ability to reduce such data in the clear, precise written summaries, reports, recommendations, etc.
