This Program Support Assistant position is aligned under the Medicine Service Line (Respiratory Service Section at the Jesse Brown VA Medical Center. This position provides administrative and clerical support for navigating pulmonary patients through the Respiratory Screening process and individualized care plans.

Duties

Duties Include: Homecare Respiratory Program Support Controls the maintenance and development of various administrative directives using knowledge of content and format requirements. Reviews proposed directives to ensure proper arrangement of material, consistency with existing directives and proper distribution. Adapts guidelines to determine whether an organization's proposed directive, publications, or functional statements are within the scope of their established delegated authority or assigned function. Identifies and develops ways to improve the process flow of the respiratory screening program to resolve problems, facilitate patient flow, and collect data. Provides administrative and technical support to the Chief of Respiratory and Homecare Respiratory clinic staff. Provides administrative support to track veterans, coordinate appointments, and facilitate written and verbal communications for high-risk patients requiring close follow-up. Provides information and basic education to veterans and families about the Homecare Respiratory Program and smoking cessation resources. Assures adherence to national or facility protocols, procedures and program plans established for the Sleep Apnea, Home Oxygen, and Sleep Study Program. Coordinates with investigators and research coordinators to provide data and recommendations for local, interfacility and national research and quality improvement projects and initiatives. Respiratory Department Administrative Assistance Identifies and develops ways to resolve problems, facilitate patient flow, and collect data. Screen and receive phone calls, determine the nature of requests and provide the information desired using privacy rules and established clinic processes. Sets priorities and deadlines and adjusts the flow and sequencing of the work to meet the team and patient needs. Provides administrative and clerical support to the service line. Participates in ongoing pulmonary research efforts as requested. Delivers caring and compassionate communication when interacting with veterans and their family members in person and on the phone. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Specialized Experience: AT least one (1) year of specialized experience equivalent to at least the GS-6 grade level. Specialized experience is defined as experience that equipped the applicant with the particular knowledge, skills and abilities to perform successfully the duties of the position and that is typically in or related to the work of the position to be filled. Specialized experience for this position consists of: Experience in positions that required knowledge related to areas such as eligibility for medical benefits, patient scheduling, admissions and discharges, patient transfers, etc.; skill in operation of computer systems to include network, intranet, and internet to download forms and access information; knowledge of correspondence procedures and skill in operating computers, printers, typewriters, calculators and other administrative systems; ability to collect, analyze, and report data for quality improvements monitoring and prepare reports; ability to prioritize, compile, interpret, analyze, and summarize data in the completion of assigned work; ability to communicate and work with management and staff; and skill in effective communications and interpersonal relations to appropriately and courteously relate to internal and external customers. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is primarily sedentary, but may include long periods of standing, walking and bending. Time will be spent at a computer terminal performing various keyboard and phone functions. While work is not extremely physical in nature, the incumbent will work under pressure with multiple tasks, changing priorities and stringent deadlines. Working Environment: The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as a medical facility clinic/office. There is adequate light, heat and ventilation in the work area. All work is performed within proximity to veterans or family members with varied medical and/or mental health needs/conditions.
