This position is located in Primary Care services at the Phoenix VA Health Care System. This individual is responsible for assisting the Associate Chief of Staff and the Administrative Officer (AO) in the coordination of day-to-day operations to support the delivery of clinical and food service operations within the Phoenix VA Health Care System and its Community Based Outpatient Clinics.
Duties

The major duties and responsibilities include but are not limited to:
Provides a full range of administrative support duties such as collecting data, preparing various reports, and records management.
Performs general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
Handles confidential information with discretion.
Receives, reviews, and directs incoming correspondence, directives, and publications.
Utilizes independent judgement based upon knowledge and understanding in determining what correspondence, directives, and/or publications require the attention of the ACOS or others within the service.
Greets persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
Maintains the ACOS and the Administrative Officer's calendar.
Responsible for scheduling appointments, conference calls, meetings, and other obligations.
Arranges hotel reservations, coordinates travel arrangements for trips to conferences, meetings, for the ACOS, AO, as well as visitors.
Arranges for transportation for internal and external visitors to attend meetings and conferences.
Prepares invoices, reports, memos, letters, financial statements, and other documents, using word processing, spreadsheet, database, or presentation software.
Answers phone calls and direct calls to appropriate parties or take messages.
Tracks controlled correspondence such as reports, newsletters, congressional, and action items to improve accuracy and style.
Ensures timely submission for the ACOS review and signature to meet established deadlines.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 7:30am - 4:00pm

Qualifications
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. ~AND~
To qualify for this position at the GS-6 level, applicants must meet the following:
Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation), GS-6 position, and that is typically in or related to the work of this position. Specialized Experience includes: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing office automation software and maintaining files. This experience must be detailed in your resume to receive credit.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: Requires walking, standing, bending, and carrying light items. The work is mostly sedentary; however bending and standing is required to retrieve files. Some walking and driving are required between various offices and buildings on the campuses.
