As the senior Protocol Officer at NASA Ames Research Center, you will be responsible for planning and managing all aspects of site visits, meetings and VIP tours for distinguished government, industry, academic, and foreign officials, including badging, itineraries, transportation, hotel, and restaurant recommendations, as well as scheduling subject matter experts and facility access. You will lead and oversee each visit from first inquiry to final farewell.
Duties
Duties described below are at the highest grade advertised. Duties assigned at lower grade levels will be of more limited scope, performed with less independence and limited complexity; duties will be commensurate with the grade of selected employee.
Provide protocol expertise to the Office of the Director by planning, directing and implementing VIP visits and other high-level meetings, conferences, and tours.
Create and maintain updated information on guest lists, ensure invitations for events are properly prepared, delivered and confirm acceptances/declinations.
Provide management and oversight of all badging, transportation requirements, hotel accommodations, mission briefings, and tours for all guests, including the interface with other government agencies, private industry, academia, and foreign entities.
Ensure that all guest operations procedures are properly coordinated with all officials and tour providers.
Ensure proper hospitality for meeting and greeting guests at events and ensure proper protocol and procedures are in place and enforced during all activities.
Promptly and efficiently resolve scheduling conflicts during the visit, leveraging understanding of priorities and requirements.
Serve on a team responsible for the planning and execution of all visits involving the President, Vice-President, other high officials, as well as heads of state, diplomats, and other VVIP officials.
Analyze requirements and goals of the agency, center and visiting guests to establish suitable policies and approaches for special events or visits by VIPs.
Assess the agency's image and protocol initiatives, instigating program modifications to elevate and improve the overall perception of the agency.

Requirements

Qualifications
Specialized experience is experience that has equipped you with the particular ability, skill, and knowledge to successfully perform the duties of this position and is typically in or related to this line of work.
To qualify for GS-13, you must have one year of directly related specialized experience equivalent to the GS-12 level:
Planning and executing multi-faceted protocol visits, specialized engagements, events and ceremonials;
Conducting formal and informal briefings to Senior Leaders on protocol and international engagement; and
Contributing to the improvement of quality and efficient service by applying innovative initiatives to events and protocol management.
To qualify for GS-14, you must have one year of directly related specialized experience equivalent to the GS-13 level:
Implementing and observing protocol standards for the planning and coordination of high-level events within an organization;
Investigating issues to provide strategic guidance and recommendations to senior management on protocol regulations and guidelines; and
Leading the improvement of quality and efficient service by applying innovative initiatives to events and protocol management.
Protocol Officer Training by an accredited institution, such as The Protocol School of Washington is preferred but not required
