This position is organizationally aligned under the Medicine Service Line at the Jesse Brown VA Medical Center (537) Chicago, IL - a complexity level 1B facility. The purpose of this position is to provide a wide range of administrative, technical, and organizational support to provide, secure, and/or negotiate for resources on services needed to manage and run the Medical Service.
Duties
Provides technical and administrative support for the daily operations on a variety of projects assigned within Medical Service for the 13 sub-specialties within the service.
Managing/ tracking and updating BLS/ACLS/ Moderate Sedation status monthly.
Prepares CA request for PC software/hardware problems, follows up to ensure the request are addresses in a timely manner.
Serve as the primary timekeeper for the personnel assigned to Medical Service.
Communicates timekeeping issues and concerns with the Section/Service Chief and provides input to problem resolution.
Assists assigned personnel with timekeeping procedures and processes as the subject matter expert.
Provides information to the sections on the use of software programs and answers questions in advanced applications. Scans documents and prepares presentations.
Solves problems and shares experience gained with coworkers, provides clerical support for various activities as designated by the Chief.
Establishes and maintains files and records of required documents.
Types all schedules and reports for the Administrative Officer and or Chief final review.
Reviews documents for correct punctual, capitalization, spelling, and grammar.
Serves as the primary travel coordinator for the service ensuring all documents are properly signed and uploaded into the travel system and serve as the credit card holder and control point clerk for the service.
Performs other duties as assigned.

Qualifications
To qualify for this position, facility applicants must meet all requirements within (30 of days) of the closing date of this announcement, 02/28/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Possessing the ability to type 40 words per minute and using various Microsoft Office programs; Experience as timekeeper; Experience performing ADPAC duties; maintains, monitors, tracks trends, researches and compiles statistical data. Maintaining appointment calendars, coordinating meetings, conference calls, and ordering supplies, Records and transcribes minutes and maintains files; Preparing reports, assisting in planning, reviewing and reporting data, and statistical results; Coordinates and maintains Policy, Procedure, protocol documents, etc.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The incumbent comes in frequent contact with staff physicians, section chiefs and various other clinical staff throughout the Medical Center. In addition, the incumbent also encounters many representatives of vendor and manufacturing concerns.
