This position is located in the Department of Veterans Affairs, Veterans Health Administration, Veterans Integrated Service Network (VISN 16), Gulf Coast Veterans Health Care System, Office of the Associate Medical Center Director, Non- VA Care Coordination Service, Biloxi, Mississippi. The primary reason for the position is to assist the Chief of Non-VA Care and its staff by performing general office work auxiliary to the work of the Non-VA Care Coordination Program.
Duties

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-06. At the GS-05 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-06. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.
Major duties and responsibilities include but are not limited to:
Provides secretarial and administrative support service to Community Care and general office duties of a responsible and confidential nature including point of contact direction, time management, correspondence disposition, and resolution, as well as deals with confidential materials involving budget, financial data, personnel and VA/DOD sharing agreements.
Tracks accountable documentation to ensure security and control and dealing with confidential matters as it relates to employees and related personnel matters.
Prepares/assists in preparation of reports for the Service Chief, the Deputy Service Chief, and as directed for the clinic staff.
Completes monthly, quarterly, and annual reports as assigned. Collecting and tracking data in spreadsheet format.
Enters and tracks employees training for the Service.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication.
Edits and composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries.
Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information.
Uses computer software such as MS Outlook and MS Teams to send/receive messages and maintain calendars.
Plans, implements, and monitors the supply program serving as the point of contact for vendors.
Obtains, via credit card, and monitors the use of supplies.
Oversees receipt and delivery of orders of expendable supplies.
Performs purchase card holder responsibilities to include complying with all acquisition regulations, both Federal, VA, and local; follows activation instructions provided when card is issued.
Verifies funds availability prior to making purchase and complying with single purchase and cardholder limits placed on control point, cost center, and budget object class for that transaction.
Reconciles (matching) payment charge from purchase card program contractor.
Receives requests from the staff for expendable office supplies and trains staff at all clinics and OPC to use the internal order requests to ensure that all requested supplies are accurate prior to entering orders.
Manages the expendable supply share point - including development and management of spreadsheet for supply orders.
Schedules appointments, coordinates meetings, and/or schedules conferences.
Attend meetings, notes commitments made, informs staff of commitments, and arranges for staff to implement commitments during the meetings.
Arranges for meeting space, speaker, and support arrangements for large conferences.
Acts as a timekeeper and maintains daily attendance sheet.
Other related duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

Qualifications
In order to qualify for this position, you must meet the following requirements:
GS-5 SPECIALIZED EXPERIENCE: One (1) year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-4 level in the Federal service. Specialized experience includes: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; and maintaining files. (Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.)
OR
GS-5 SUBSTITUTION OF EDUCATION FOR EXPERIENCE: Successful completion of four (4) years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school. (TRANSCRIPT REQUIRED)
OR
GS-5 COMBINATION OF EXPERIENCE AND EDUCATION: Equivalent combinations of successfully completed post-high school education and experience to meet total qualification requirements at the GS-5 level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. (TRANSCRIPT REQUIRED)

GS-6 SPECIALIZED EXPERIENCE: One full year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation), GS-6 position, and that is typically in or related to the work of this position. Specialized experience includes performing secretarial duties in a medical setting to include receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; utilizing office automation software and maintaining files. (This experience must be detailed in your resume to receive credit.)
AND
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, and carrying of light items like papers or books. On occasion, it may require position of patients. This will require an understanding of proper lifting and supporting techniques to minimize physical injury.
