This position is located at the Clement J. Zablocki VA Medical Center, Milwaukee, Wisconsin, in the Acute Care Nursing Division, Administrative Support Program. Incumbent will normally work in their assigned area, but could be reassigned to work in another area if necessary.
Duties
Major Duties:
Interacting with both internal and external customers;
Professionally serving as area's communication liaison through the operation of a multi-line telephone and paging system;
Establishing patient records, and/or routing patient records accurately and appropriately to be scanned into the patient's electronic medical records via the file room;
Interpreting and verifying provider orders and demonstrating complete established administrative action for each order;
Scheduling appointments in accordance with VHA national scheduling guidelines;
Monitoring both inpatient and outpatient appointments for areas of responsibility;
Verifying and updating patient demographics upon discharge;
Entering work orders, maintaining adequate and appropriate office supplies for their assigned areas;
Providing front line hardware and software support to the medical staff in their assigned areas, only referring more complex matters to the IRM helpdesk or CPRS helpline
Inpatient:
Timely, accurate and appropriate processing all admissions, transfers, and discharges to the assigned inpatient areas;
Assist with processing all emergency transfers to other VA facilities or private hospitals;
Preparing for scheduled admissions to include giving scheduled admission list to each day's admitting team and knowing which team is on call daily;
Updating BMS multiple times during the shift based on interpretation of physician's orders;
Timely and accurate completion of the inpatient Kardex;
verifying physician orders and taking appropriate established procedures for those orders;
Entering timely, pre-op notes, and pre-cardiac cath notes;
Courteously answering the patient Jeron phone, routing it appropriately to the nurse or aide, enter the phone assignments for current and/or oncoming shift, inventorying phones each shift, assigning "tele" phones;
Calling for Code4 or Rapid Responses Teams, following established procedures regarding both;
Outpatient:
Updating insurance information in the Insurance Capture Buffer (ICB) system;
Obtaining phone numbers for family members waiting upon check in for procedures;
Entering scheduled admissions into VISTA;
Ensuring encounter forms are completed in order to obtain appropriate workload credit;
Obtaining medical information from patients, other VA's, and/or private sector medical centers;
Coordinating information and actions related to patient care and services;

Work Schedule: 3:00pm-11:30pm working every other weekend and some holidays.

Pay: Competitive salary and regular salary increases When setting pay, a higher step rate of the appropriate grade may be determined after consideration of existing pay, higher or unique qualifications, or special needs of the VA (Above Minimum Rate of the Grade).
Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year)
Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience.
Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.
Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.

Qualifications
Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
CITIZENSHIP: Must be a United States Citizen.
ENGLISH: Must be proficient in basic written and spoken English.
EDUCATION/EXPERIENCE: Must possess six (6) months experience of clerical, office, customer service or other administrative work that indicates the ability to acquire the particular knowledge and skill necessary to perform the duties of the Medical Support Assistant.
OR
Must have successfully completed one (1) year above high school. This education must have been obtained in an accredited technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPTS REQUIRED)
OR
Equivalent combinations of experience and education are qualifying for entry level. (TRANSCRIPTS REQUIRED)
Grade Determinations:
GS-5 level
Experience: Do you possess either one (1) year of experience that equips you with the particular knowledge, skills, and abilities to perform successfully the duties of this position and that is equivalent to the next lower grade level (GS-4) OR successful completion of four years of education above high school level? In addition, can you fully demonstrate the knowledge, skills, and abilities required at the GS-5 level which include: Ability to operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports. Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients. Ability to schedule medical appointments in a clinical setting. Ability to work independently in the accomplishment of a wide variety of duties performing patient support work. Ability to communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers. Skill in customer service with the ability to identify customer concerns, and refer to the appropriate staff, as necessary, to ensure a satisfactory resolution.
OR
Education: Successful completion of four (4) years of education above high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. (TRANSCRIPTS REQUIRED)

Ability to operate computerized programs and systems in order to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic health records, scheduling systems, and/or reports.
Advanced knowledge of medical terminology specific to understand medical diagnosis and procedures sufficient to communicate clinical staff instructions to patients.
Ability to schedule medical appointments in a clinical setting.
Ability to work independently in the accomplishment of a wide variety of duties performing patient support work.
Ability to communicate effectively and professionally in person, electronically, and/or by telephone, with internal and external customers.

The full performance level of this vacancy is GS-5.
Physical Requirements: The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying of light items. Some positions may require sitting for long periods of time at a computer terminal typing data while talking on a telephone headset.
