This position will serve as work leader in the File/Scanning Unit of the Health Information Management Section (HIMS) under the Medical Administration Service (MAS) at the Central Texas Veterans Healthcare System (CTVHCS) in Temple, Texas. Incumbent will be responsible for the control of a large volume of patients' medical record scanning.

Duties

Major Duties as Assigned, but not limited to: Serve as the Lead File/Scanning Clerk Responsible for the control of a large volume of patients' medical record scanning Ensure that assignments are carried out, by performing a wide range of duties Ensure work is disseminated appropriately and notifies supervisor of any backlog Maintain workload and productivity reports for the unit Perform monthly spot checks on work performance and productivity Resolve simple, informal complaints of employees referring others to the supervisor Inform employees of available services and employee activities Promptly inform Supervisor of any unusual complex or problem situations confronting the daily unit operations that cannot otherwise be resolved Assist with workload assignments including uploading documents for indexing Provide supervisor with suggestions as requested concerning promotions, reassignments, recognition of outstanding performance, and personnel needs Identify and recommend needs in regard to future staffing, equipment, and space Assist Supervisor, File/Scanning Unit in the performance, completion and maintenance of accurate and timely monitors to ensure that medical record availability meets or exceeds levels acceptable to the Health Information Management Department, Joint Commission and other reviewing organizations Maintain a records over-due database conduct follow up activities, which require tact and persistence when information is not received in a timely fashion Communication skills are required to properly coordinate record transfer, record follow-up, and indexing functions with clinical team members Instructor/trainer for File/Scanning personnel, This includes all operations, i.e., indexing medical records, scanning medical records, instructing GS-4 file clerks on how to conduct QA of documents scanned Fully protects the confidentiality of customer information, access to computer files and release of access codes, according to established guidelines and policy Regularly and cooperatively assist other co-workers when needs arise Perform other duties as required and functions as a backup to GS-4 scanners when needed Work Schedule: Monday - Friday 7:30 a.m. - 4:00 p.m. or 8:00 a.m. - 4:30 p.m. Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/12/2024. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: ability to lead others to accomplish the work of the scanning and file unit; Maintain workload and productivity reports for the unit, Perform monthly spot checks on work performance and productivity, have knowledge of multiple systems and current computer technology regarding Medical Records Tracking Package, PC Fax applications, excel spreadsheets, required to correct errors, improve clarity, and assist other staff in order to assure finished product is acceptable, Assist in retrieving medical records for treatment, social services, eligibility determinations, support of claims for compensation and pension, etc., Communication skills to properly coordinate record transfer, record follow-up, and indexing functions with clinical team members, Fully protect the confidentiality of customer information, access to computer files and release of access codes, according to established guidelines and policy. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four (4) years above high school. (TRANSCRIPT REQUIRED) OR, Combination: Applicants may also combine education and experience to qualify at this level. Equivalent combinations of successfully completed post-high school education and experience may be used to meet total experience requirements at grades GS-5 and below. You must have an combination of specialized experience and education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPT REQUIRED). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
