You will serve as a Program Support Assistant for the US Small Business Administration, Field Operations Center West - FOCW in Citrus Heights, California. This position provides technical, administrative, and clerical support to facilitate workflow. Responsibilities also include answering questions or referring inquiries to functional areas or specialists.
Duties
As a Program Support Assistant at the GS-0303-8, some of your typical work assignments may include:
Utilize Microsoft 365 software to create, update, or automate various items, such as spreadsheets, reports, documents, presentation/briefing material, and e-mails.
Develop and/or maintain a variety of databases; produces reports in various formats; reviews internal and external correspondence for grammar, format, typographical accuracy and conformance to established guidelines.
Establishes and maintains physical and electronic folders and files; maintains library of correspondence, records, publications, memos, regulations, etc.,
Receives and responds to telephone calls and visitors; coordinates with staff to obtain and/or provide information; maintains manager's appointments, calendar of events and meetings.
Communicates with employees, supervisors, external partners, and the general public regarding center and program information, rules, and/or regulations.
Coordinates or assists with time and attendance, travel requests and obtaining supplies.
Oversees and/or trains lower graded or new employees.
IMPORTANT NOTES:
This is a Term position, which is a Competitive service status position with an Intermittent work schedule.
Mandatory Overtime: In order to respond quickly and efficiently to disaster survivors, substantial compensated overtime hours may be required during heightened Disaster Activity.
If required to travel to a disaster site, you may encounter hazardous working and/or living conditions, for example, no water or electricity and/or minimal lodging facilities.

Qualifications
Experience:
To receive credit, you must indicate the month and year as well as the average hours worked per week for each employer. Average work hours must be stated on the resume to quantify each period of work experience or that experience will not be credited toward meeting the specialized experience requirement.
You must address the specific specialized experience required for each grade level of this position on your resume or application or you will be rated "Ineligible" for that grade level.
GS-08: One year of specialized experience, equivalent to the GS-07 grade level in the Federal service, obtained in either the private or public sector:
Performing at least three (3) of the following administrative functions for an organization: consolidating and creating reports; reviewing correspondence and/or reports for correct grammar and format; maintaining and/or updating databases; monitoring progress on action items; training lower graded staff; AND
Preparing time and attendance, maintaining associated records, and resolving errors; AND
Establishing and maintaining a variety of physical and electronic records/files; AND
Knowledge/proficiency of word processing programs, spreadsheets, email platforms and/or other automated software communication tools such as Microsoft 365 or Google Workspace.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g. Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
