The Southern Arizona Health Care System is currently recruiting one Secretary (OA) for the Associate Director of Patient Care Services in Tucson, Arizona. The incumbent processes incoming/outgoing materials e.g. correspondence, reports, memoranda and other forms of written communication. The incumbent performs the following types of duties: edits letters/reports, reviews correspondence for accuracy/completeness, prepares presentation outlines and/or develops form letters.
Duties
Duties include but are not limited to the following:
Edit letters, reports, and presentation correspondence for accuracy and completeness in accordance with VA policies.
Prepare, edit and update policies and procedures in accordance with VA policies.
Gather, organize and analyze data to prepare reports, charts, graphs and tables as required.
Schedule and maintain appointments electronically, i.e. coordinates meetings, V-Tels, VANTS calls (teleconferences) and/or conferences.
Perform electronic calendar maintenance to ensure appointments are accurate, non-conflicting and/or reminds supervisor/staff of subject matter prior to the meetings and arrangements as required.
Utilize office automation equipment to, e.g. accomplish writing, transmitting, receiving and forwarding electronic mail, format word documents and/or spreadsheets to meet established timeframe.
Provide customer service to all staff members and/or other high-ranking personnel in a diplomatic and effective manner.
Prepare, i.e. agendas, transcribes all taped and handwritten notes and meeting minutes for several high-level committees.
Advise staff of important office issues, significant items in reports, files and correspondence to staff as needed.
Review policies, procedures or guidelines for information that might confuse others and brings to the author's attention for correction.
Maintain extreme confidentiality of all sensitive items.
Utilize appropriate format for correspondence, communicating effectively through memoranda, letters, electronic mail, narratives, reports and minutes.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday - Friday, 8:00 AM - 4:30 PM
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/16/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 8 position you must have served 52 weeks at the GS 7. For a GS 7 position you must have served 52 weeks at the GS 6.The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 7 for the GS 8 position in the normal line of progression for the occupation in the organization. You must have one year of specialized experience equivalent to at least the next lower grade GS 6 for the GS 7 position in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: managing another's calendar, utilizing various automation software programs. Microsoft Suite (Excel, spreadsheets and databases to extract data for reports, etc.) and provide receptionist/clerical support work.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending and carrying of light items like papers or books. No special physical demands are required to perform the work. Work is performed in an office setting and requires observing standard office safety procedures and involves normal risks and discomforts of a typical office setting.
