The position is located in the Veterans Administration (VA), Veterans Health Administration (VHA), Mid-Atlantic Care Network (VISN 6), at Salem VA (SAMVAMC). The position is organizationally aligned to the Chief, Health Information Management (HIM), providing the primary clerical program support to include such as Scanning Operations, Release of Information, Medical Record Technician Coders, Auditors, Clinical Documentation Improvement Specialist, Transcription, and Switchboard.
Duties
Receives visitors and telephone calls for the Service, determines the nature of the requests and directs such inquiries to appropriate staff or personally provides the desired information involving routine or procedural matters.
Responsible for coordination and preparation of Congressional replies from the HIM Chief and supervisory personnel, making grammatical and spelling changes as needed. Prepares final Congressional and ensures it is forwarded in the appropriate format as required.
Review's correspondence prepared for the supervisor by his/her subordinate staff checking for spelling, typographical errors, conformance to formats and procedural requirements.
Ensures Service has adequate office supplies and equipment, preparing and submitting work orders and equipment requests as needed.
Provides access to printed and electronic files containing sensitive data, which must be protected under the provisions of the Privacy Act and other applicable policy and regulations.
Performs as backup for Transcription Coordinator duties when he/she is out of the office; including assigning dictation numbers to incoming physicians/residents and making sure all View Alerts are assigned.
Serves as timekeeper for HIM, ensuring accurate recording of overtime, leave, authorized absence, and other related matters.
Performs other directly related duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
SPECIALIZED EXPERIENCE: Applicants must possess at least one (1) year of specialized experience that equipped them with the particular knowledge, skills, and abilities to perform successfully the duties of this position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-4 level in the Federal service. Specialized experience includes: receiving visitors and telephone calls to the office; scheduling appointments; coordinating meetings and conferences; preparing correspondence, reports, memoranda, and other forms of written communication; preparing travel arrangements; and maintaining files.

SUBSTITUTION OF EDUCATION FOR EXPERIENCE (Transcript Required): Successful completion of (4) years of education above the high school level. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university for which high school graduation or the equivalent is the normal prerequisite. One year of full-time undergraduate study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial or technical school.

COMBINING EDUCATION AND EXPERIENCE (Transcript Required): Combination of successfully completed post high school education and experience may be used to meet total qualification requirements. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement.
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: Most duties will be performed in the Access and Transformation Office. The work environment is in a typical office setting. The work environment involves everyday risks or discomforts and requires normal safety precautions typical of such places as meeting/conference rooms. The work area is adequately lighted, heated, and ventilated. The work is inside of a hospital, so safety precautions are observed and followed.
