The Clement J. Zablocki VA Medical Center is recruiting for a Lead Transportation Assistant who will support the Medical Center's Beneficiary Travel section at the Green Bay Health Care Center.

Duties

Major duties include but are not limited to: Distributes and balance the workload among employees in accordance with established workflow or job specialization, assure timely accomplishment of the assigned workload. Maintains a current knowledge and answers questions of other employees on procedures, policies, directives, etc. and obtain needed information or decisions from supervisor on problems that come up. Planning, assigning, reviewing, accepting/rejecting work done by subordinates and providing initial training and remedial training when necessary Distributes workloads equitably among the clerks, checks status of work and makes necessary adjustments. Receives invoices for payment of transportation services. Investigates authorizations, orders, and/or utilizes the Computerized Patient Record System (CPRS) to review medical records, forwards for supervisory approval, and submits all documents for payment utilizing the appropriate fund control point for reference. Responsible for the processing of Veteran claims reimbursements utilizing BTSSS which provides a more veteran-focused experience for beneficiary travel reimbursements, allowing claimants to submit and track travel claims at their convenience. Responsible for forwarding all invoices certified for payment to Financial Resource Management Service (FRMS) for processing. Maintains and controls filing system in accordance with VA Regulations. Assists with the arrangement for all modes of transportation via air ambulance, commercial air, taxi, ambulance, bus, and/or contracted transport services. Corresponds with physician, traveler, social worker or CBOC representative and vendor to determine the most dependable and economical mode of transportation. Reconciles vouchers against authorizations for accuracy prior to preparing certifications for payment. Serves as customer service representative for all matters involving Beneficiary Travel, communicating, and interacting with patients in a manner appropriate to cognitive, emotional, and chronological maturation needs of the adult and/or geriatric patient. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/09/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position, you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade (GS-06) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Scheduling, entering, and processing beneficiary travel authorizations and maintaining records supporting travel reimbursements per regulations and directives; maintaining accounting records for travel accounts and making adjustments; experience with computer software programs equivalent to Microsoft Excel, Access, Outlook, PowerPoint, and Word processing; entering data into a computer and creating reports; determining enrollment and eligibility for beneficiary travel; determining appropriate services for clients or customers; making or receiving telephone calls; processing incoming forms, records, or other documents; and recommending solutions to complex problems. You will be rated on the following Competencies for this position:CommunicationComplianceComputer SkillsTransportation Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work required no physical demands, but will require some physical effort such as standing, walking, bending or sitting.
