Serves as the Administrative Assistant in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), at the Southern Arizona VA Health Care System in Tucson, Arizona (SAVAHCS), in the Office of the Chief, Mental Health (MH) Nursing and provides nurse staffing, education, recognition/awards, transition to practice, and academic affiliation support to all facility services. Reports directly to the Chief of MH Nursing.
Duties
Serves on committees as representative to the MH Nursing Chief and administrative officer, as appropriate, presenting the service's official's policy and viewpoint pertaining to the activity being considered and providing direct feedback.
Coordinating projected personnel into the respective T&Ls within MH Nursing based on service need and employee type (RN, LPN, NA).
Maintains Human Resource tracking database, extracting relevant data, and inputting data into the local time & attendance scheduling program e.g., AcuStaf, for enrollment and scheduling.
Collecting timecards, correcting errors, verifying hours worked with scheduled time and providing final billable hours to the supervisor.
Tracks all approved actions such as FMLA, EPSL, COP, Military Leave, Workers Compensation, Planned Parental Leave, Weather and Safety Leave requests, maintaining all documentation ensuring all leave is properly utilized.
Assisting with deadlines, completion, and submission of policies and directives issued by the MH Nursing Chief.
Prepares correspondences, reports, and professional documents for distribution and submission throughout MH Nursing, prepares a variety of special, statistical, narrative, and spreadsheet reports.
Establishing protocols for incoming data, creates internal databases, organizes written and computed data, and retrieves data.
Incumbent is key point of contact in MH Nursing supporting the respective service chief, administrative officers, individual T&Ls, clinical nurse managers, assistant nurse managers, and various T&L embedded timekeepers; responsible for assuring that all time and leave implementation with the care line services is accurate and compliments established federal title codes.
The incumbent serves as an in-service POC for local payroll and human resources function and embedded users within MH Nursing, serving as a first line response prior to escalating complex routines
Work Schedule: Monday - Friday 7:00 a.m. to 4:00 p.m., or 7:30 a.m. to 4:30 p.m.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/08/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-05 position you must have served 52 weeks at the GS-04. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: applying office administrative practices and procedures for managing and preparing correspondence, memoranda, letters, and reports; reviewing documents for accuracy; communicating with customers to answer questions; preparing a variety of special, statistical, narrative, and spreadsheet reports. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have 4 years of education above the high school level. OR,
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education in excess of the first 60 semester hours.

Physical Requirements: The work is mostly sedentary. However, it occasionally requires carrying of light objects such as files, books and papers, or computer; and some walking, standing and bending.
