This Management and Program Assistant position is located in the Nursing Operations service with a duty location of the Jesse Brown VA Medical Center, Chicago, IL. This position provides management and program administrative support for the various programs and activities for the Nursing Operation service.
Duties
Duties include:
Provides administrative and clerical support to the Nursing department's Management and Program Analyst, Associate Director of Patient Care Service, Associate Chiefs and Administrative Officer
Performs specialized training duties within Nursing Department
Participate in administrative investigations, Boards, Reports of Survey, Audits Rapid Process Improvement Workshop and Joint Commission reviews.
Processes a wide variety of training inquires. This includes nursing service, VISN 12 training and development opportunities, tuition and travel, continuous education, career development, community outreach, departmental training needs, training equipment resources, educational materials, new employee on-boarding, field accreditation services.
Tracks initiatives, retrieves organizational program data, creates/compiles reports, and produces charts and graphs to monitor projects and program status.
Assists Nursing Service Line Officials with activities required to accomplish tasks such as the onboarding process, provision of PIV cards to all new employees and coordination with Management and Program Analyst.
Creates, processes, and maintains attendance and leave records, as well as setting up all Personnel and Accounting Integrated Data (PAID) time and leave records.
Creating and maintaining records plans, according to record management and training guidelines.
Liaison for office support services, coordinates a variety of general office support services for the organization such as requisition, purchase, storage, and maintenance of stock levels.
Drafts correspondence and general communications regarding training programs, including reports.
Creates signage for directional purposes to decrease confusion and workflow.
Schedules conference rooms, prepares documents and materials needed for workshops.
Tracks initiatives, retrieves organizational program data, creates/complies reports, and produces charts and graphs to monitor projects and program status.
Prepares presentations, briefings, reports, correspondence, utilizes email and maintains calendars as well as entering medical record information into the database system.
Participates in inventory management of equipment and supplies.
Performs other related duties as assigned.

Qualifications
To qualify for this position, facility applicants must meet all requirements within 30 days of the closing date of this announcement. Non-facility applicants must meet all requirements by the closing date of this announcement, 02/12/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: Applicants must have one (1) full year of specialized experience that equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the Management and Program Assistant position at the GS-7 level grade level. To be creditable, this experience must have been equivalent to at least the GS-06 level in Federal service. Specialized experience related to this position includes demonstrated knowledge and experience working with software programs such as Microsoft Word, Excel, Access, Power Point, as well as various software programs and applications in word processing, spreadsheets, database programs, etc.; skill in administrative concepts, practices and procedures sufficient to complete a full range of clerical and administrative functions; experience working with office management procedures including organization of regulatory materials, files, and records; and skill to prepare presentations, briefings, reports, correspondence, and maintaining calendars as well as entering medical record information into an electronic medical record system.
As a rule, education is not credible above the GS-5 level for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.

Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items like paper or books, transferring materials on/off carts, and pushing carts. No special physical demands are required to perform the work.
Work Environment: The work environment involves everyday risk or discomforts and requires normal safety precautions typical of such places as meeting and training rooms. The work area is adequately lighted, heated, and ventilated.
