The Administrative Support Assistant performs the work involved in providing administrative support to the Education Department at the Lebanon VA Medical Center. The Education Department inputs and tracks the education records for all station employees, coordinate all non-physician student affiliations, and support the Library Service, collaborating with multiple administrative and clinical positions and flexible in the demands for data collection, analysis, widely varied projects.
Duties
Duties to include but not limited to:
Reviews and prepares Employee Development Program Applications for completion
Manages and maintains Employee Development Program Database
Maintains Education Committee Agenda
Types and distributes the Education Committee agenda and minutes
Creates Purchase Orders
Completes data entry of Micro Purchases
Manages/orders office supplies
Assembles Program for New Nursing Orientation
Coordinates arrangements for speakers/presenters to attend New Nursing Orientation
Coordinates the Reservation of Education Training Rooms
Receives, coordinates and schedules educational courses and workshops
Maintains time and attendance and enters information into the electronic time and attendance system for supervisory review/approval
Performs routine clerical, and reception duties in the education department
Provide timekeeping duties with compilation and data entry of employee time data
Receives, sorts, and distributes mail
Performs general filing
Arranges Student On-Boarding
Reviews completion status of required forms and training
Maintains files and records for all student affiliations
Manages all incoming and outgoing correspondence
Creates Affiliation Agreement with colleges, universities and outside facilities
Reviews affiliations for Proof of Accreditation; maintain database of all Affiliation Agreements
Work Schedule: Monday to Friday, 7:30 a.m. to 4:00 p.m.

Qualifications

You may qualify based on your experience as described below:
General Experience: You must have one year of general experience equivalent to at least the next lower grade GS 04 in the normal line of progression for the occupation in the organization. Examples of generalized experience would typically include, but are not limited to:
Performance and/or maintenance of Xerox, Canon, Triumph copiers
Review and prioritize print job requests
Maintain printing records and printing operations
Develop and implement color management technology and quality
Assist with editor/writing programs, books, trifolds, brochures
OR
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have
4 years above High School
Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond the high school level.

Physical Requirements: Work is mostly completed in a sedentary position. It does entail stopping, bending, and reaching. There is some walking around the medical center. There are frequent occasions when assistance is needed in setting up classrooms, which could entail moving tables, large
easel pads or flip charts.
