The Secretary (Office Automation) reports to the Associate Chief of Staff (ACOS) of Ambulatory Care South and will be working at the Austin Outpatient Clinic which is part of the Central Texas Veterans Health Care System. The Secretary (Office Automation) is responsible for various administrative support functions and ensures that these administrative support functions are handled in such a manner as to enhance the efficiency of the Department.
Duties

Duties include, but may not be limited to the following:
Receiving visitors and telephone calls to the office.
Receiving and screening all incoming correspondence and either independently answering it or forwarding it with proper attachments to the official responsible for the activity concerned.
Maintaining calendar for appropriate staff and schedules appointments.
Performing office automation work which includes prepares meeting minutes, utilizing various hardware and software.
Following up on action items to ensure timely response.
Preparing forms, memorandums, reports, and other correspondence, ensuring proper grammar, spelling, and format.
Preparing travel arrangements for staff.
Coordinating conferences and meetings which includes preparing agendas.
Establishing suspense dates and maintains suspense records in the office.
Tracking suspense dates and notifying ACOS, Clinical Director, Program Manager Section Supervisors of projected success or failure to meet them.
Performing other related duties as assigned.
Work Schedule: Full-Time, Monday through Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position at the GS-6 level, applicants must meet the following:
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
~AND~
SPECIALIZED EXPERIENCE: You must have at least one (1) full year of specialized experience equivalent to the next lower grade level (GS-5) in Federal Service, that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of a Secretary (Office Automation), GS-6 position, and that is typically in or related to the work of this position. Specialized experience for this position includes processing incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication; scheduling appointments, coordinating meetings and/or scheduling conferences; maintaining calendars and tracking suspense items. This experience must be detailed in your resume to receive credit.
