This position is located within the Clinical Support Services of the Captain James A. Lovell Federal Health Care Center (FHCC)located at North Chicago, Illinois. The FHCC is larger than just a single facility, rather is a system of facilities throughout Northeastern Illinois and Wisconsin which provide medical and dental services to U. S. Military Veterans, Recruits, and Active Duty and eligible beneficiaries.
Duties
The Department is organized into three subordinate divisions, namely Administrative, Physical Therapy, Kinesiotherapy, and Occupational Therapy which are further subdivided. Direction is exercised through immediate supervisors and the subordinate groups differ from each other in such aspects as subject matter, functions, relationships with other organizations and administrative requirements in ways that place substantial demands upon this position.
Major Duties:
Public Contact Liaison (25%)
Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information about the office, its functions, and standard operating procedures, as well as similar information. Screens calls and personally answers calls when the requested Information concerns routine and procedural requirements. Supplies the requested information as it pertains to departmental and subject matter nature such as: status of reports, suspense dates, and request for tours. A degree of sensitivity of the information given to the requestors should be exercised In this position.
Mail, Correspondence, and Reports (30%)
Processes Incoming and outgoing materials such as correspondence, reports, memorandum, and other forms of written communication. Performs the following types of duties: edits letters composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters and replies to inquiries. Processes daily pending and active consults referencing printed providers' appointment list with consults. Provides
general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information. Researches files and assembles background information on the subject of incoming material prior to referral. Screens publications, directives, correspondence, etc., and brings items of significance from those publications to the attention of service line leadership as appropriate.
Maintaining Calendars, Meetings, & Travel Schedules (25%)
The incumbent will provides general calendar maintenance clerical services such as maintaining calendars and recording appointments, or arranging for meeting and small conference administrative details. Independently schedules supervisor/staff member time based on knowledge of preferences and current commitments. Reminds supervisor/staff members ofthe subject matter prior to the meeting, and makes administrative arrangements as required. Prepares as necessary meeting binders for scheduled meetings and events. Maintains effective office systems (including files and report automation), travel procedures (Including reservations and itinerary), and communication on special procedures for the Branch Clinic and staff as needed. Ensures that files include all documentation necessary for accurate hands-on daily office routines as well as historical background and future projections.
Office Supplies & Equipment (10%)
Incumbent must successfully pass execute all required training to purchase needed office supplies and may make other purchases under the purchase threshold that are needed to support the Branch Clinic. The incumbent must utilize various cost-center codes and specific Fund Control Points via authorized vendors, suppliers and GSA approved contracts appropriate for PM&RS needs. The incumbent must track and obtain from any appropriate source supplies/equipment necessary for the different sections use, assist with tracking of reports due to the Facility, or other offices and ensure they are submitted in a timely manner. Justifies and requests replacements for outdated equipment by identifying the outdated equipment, gathering relevant Information on office equipment, or requesting office equipment for all identified work areas.
Timekeeper Duties (10%)
As the principal timekeeper for time and attendance, incumbent must learn and stay abreast of complex rules and regulations governing time and attendance. In this role incumbent will assist the supervisor in assuring that all leave is properly accounted for and in accordance with applicable policies and regulations. Incumbent will communicate with their supervisor and Human Resources to obtain guidance and information that is needed to carry out these responsibilities.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 02/07/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: At least one (1) full year of specialized experience equivalent to the GS-5 level that equipped you with the knowledge, skills and abilities to complete the duties of the position. Such knowledge and skills are identified in the position and include knowledge and skills in: extensive body of rules, procedures or operations applied to clerical assignments, and organization and functions of the office in order to perform all of the procedural work of the office; coordinate the work of the office with the work of other offices and for recognizing the need for coordination in various circumstances; Prepare a wide variety of recurring internal reports and documents from information obtained from the staff, files and other sources; correct grammar, spelling, punctuation, capitalization and style; a qualified typist is required.

Physical Requirements: The work requires some physical effort such as walking, standing, bending, sitting, carrying of light to moderately heavy computer printouts, papers, books, and files.
