The VA Northeast Ohio Healthcare System is recruiting for a Supervisory, Medical Support Assistant (Advanced). The Supervisory, Medical Support Assistant (Advanced) will function within Compensation & Pension (C&P) at the Parma, OH. CBOC.
Duties
The Supervisory MSA has full responsibility for supervising subordinate Advanced Medical Support Assistants within the service.
Duties includes but are not limited to:
Evaluating the work of subordinate staff including evaluating performance and taking disciplinary action when necessary.
Resolving complex problems to ensure patient services are met including evaluating new products, equipment and systems to make recommendations for improved operations.
Identifying educational or training needs of the staff.
Making final decisions on hiring selections.
Working collaboratively with facility programs, services, and inter-professional coordinated care team members to facilitate access to care through focused efforts on meeting the needs of Veterans.
Applying policies and procedures associated with operational activities that affect workload data.
Assuring accurate appointment management and the coordination of all administrative information between the professional staff and the patient.
Demonstrating technical competency in the use of the VistA and CPRS systems to accurately enter or extract information.
Providing administrative support to Physicians, Physician's Assistants, Nurses, Advanced Registered Nurse Practitioners and other administrative and professional staff.
Conducting individual quality assurance/process improvement checks/studies,
Interpreting guidelines to apply to specific cases, or problems. Use discretion and initiative to decide on the appropriate course of action.
Working independently to make decisions based on training, guidelines, processes and/or regulations.
Maintaining confidentiality of information in carrying out required duties.
Work Schedule: Monday through Friday, 8:00am to 4:30pm, variable based on the needs of the service

Qualifications
Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education:
Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
One year above high school; OR,
Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency: Must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
Grade Determinations: Supervisory Medical Support Assistant GS-08
Experience. One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting.
In addition to the requirements listed above, candidates must demonstrate the following Knowledge, Skills, and Abilities (KSAs):
Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations.
Ability to provide briefings, orientations, staff development, and training.
Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

The full performance level of this vacancy is GS-08.
Physical Requirements: The work is typically sedentary and requires long periods of sitting and making and receiving telephone calls. The employee sits comfortably to do the work; however, there may be some walking; standing; bending; carrying of moderately heavy items such as papers, books, small parts or equipment, etc. No special physical demands are required to perform this work.
