Duties

Serve as initial point of contact for the public and other government officials on behalf of the state director both orally and in writing; respond to inquiries directly or refer individual to the appropriate staff members. Process various transactions and review financial documents in automated financial system and recommend improvements to budgetary operations. Purchase supplies and equipment using Department of the Interior integrated charge card program, maintain receipts, verify transactions, and reconcile charge card statement and assist employees on submission of purchase requests. Assist with travel arrangements, travel issues, review of travel records, and preparation of travel documents in automated travel system. Instruction Memorandums and Information Bulletins; process daily incoming and out-going mail; maintain and monitor inventory and usage of official forms. Maintain various files and reference information in the central filing system to track items due for response to the Washington Office or other officials. Prepare, edit, and finalize correspondence for supervisors and managers; distribute, track and maintain issued correspondence. Establish control measures, monitor, track, and adjust obligations and expenditures throughout the budget execution phase, identify discrepancies and take corrective action.

Qualifications

Minimum Qualifications for the 0303 Series at the GS-06 for an Administrative Support Assistant: You must possess one (1) full year of specialized experience at or equivalent to the GS-05 level that is equivalent in difficulty and complexity as indicated by the following examples: Maintaining electronic files. Generating and reviewing correspondence. Providing appropriate guidance and training to staff regarding travel matters and personnel processes. Preparing and processing office requisitions. Minimum Qualifications for the 0303 Series at the GS-07 for an Administrative Support Assistant: You must possess one (1) full year of specialized experience at or equivalent to the GS-06 level that is equivalent in difficulty and complexity as indicated by the following examples: Independently maintaining electronic files. Generating and reviewing correspondence. Providing appropriate guidance and training to staff regarding travel matters and personnel processes. Preparing and processing office requisitions. Experience Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal employees in the competitive service are also subject to the Time-In-Grade requirement in accordance with 5 CFR 300.604. If you are a current Federal employee in the General Schedule (GS) pay plan and applying for a promotion opportunity, you must have completed a minimum of 52 weeks at the next lower grade level. Physical Demands: The work is typically sedentary. Some work may require periods of walking, standing, bending, or driving a motor vehicle. The incumbent may frequently lift relatively light boxes, materials, and supplies and/or carry file folders, copied materials, books, and other similar materials. Work Environment: Work is typically located in an adequately lighted, heated, and ventilated office environment. The work environment may involve everyday risks or discomforts that require normal safety precautions typical of such places as offices, mail distribution centers, meeting and training rooms, libraries, or motor vehicles.
