Duties

This position allows you to use your knowledge and experience to provide clerical support and assistance in applying technical procedures, methods and techniques in support of the missions and functions of the Agency. The Mission Support Assistant performs office support tasks including greeting visitors, processing mail, answering phones and directing calls to appropriate staff. Additionally, assisting in developing new methods for automating administrative reports, providing broad assistance to other mission support personnel. Duties and responsibilities include: Assisting higher graded staff and managers in providing direct advice and guidance to sector employees and managers on various policy and procedural aspects of personnel, payroll, budget, travel, worker's compensation, logistic and administrative programs; monitoring, receiving, prioritizing and routing service requests; Analyzing, evaluating and improving the efficiency of internal administrative processes, workflow, and reporting/tracking systems; Assisting and coordinating and monitoring the organizations property management and space utilization program; Participating in the annual physical inventory of nonexpendable property and equipment, reconciling discrepancies and maintaining documentation, reports and files; utilizing automated systems to search various government and open market sources for information on purchases and services; Developing, evaluating and advising on the methods related to administrative or records management systems; participating in preparing workload and productivity reports, evaluating areas for process improvement, and determining root causes for problems and processing errors by gathering and compiling data; entering data into database programs evaluating it for patterns or trends, and generating various management reports; performing other office tasks in combination with clerical work performed as part of general office support; Interacting with employees at all levels; working with on-site and inter-office personnel employees on basic personnel staffing assistance, reports and a variety of entry-level actions utilizing the appropriate automated systems; reviewing training requests, confirming funding approval and proper distribution are included.

Qualifications

You qualify for the GS-06 grade level if you possess one year of specialized experience equivalent to at least the next lower grade level, performing duties such as: Preparing purchase orders and supporting documents, maintaining files of catalogs, sources, supply schedules and pertinent industry publications; Sorting and routing correspondence and other materials to appropriate offices and/or individuals; Establishing personal suspense dates and maintaining correspondence and recurring reports; monitoring inventory of office supplies and ordering when necessary; Ensuring compliance with applicable laws, regulations and policy NOTE: Your resume must explicitly indicate how you meet this requirement, otherwise you will be found ineligible. You qualify for the GS-07 grade level if you possess one year of specialized experience equivalent to at least the next lower grade level, performing duties such as: Interacting with employees at any level; Answering routine questions and directing callers to appropriate staff; Performing a variety of record keeping, reporting and informational duties in support of the office; Compiling, maintaining and updating data, lists and reports; using computer software to produce, store and retrieve a variety of documents including spreadsheets, databases and graphics. You must: Meet all qualification requirements, including education if applicable to this position, subject to verification at any stage of the application process; and Meet all applicable Time in Grade requirements (current federal employees must have served 52 weeks at the next lower grade or equivalent grade band in the federal service) by 02/01/2024.
