This position is the Secretary to the Chief of Staff (COS), who is responsible for the medical programs. This position is located at the VA Medical Center in Togus, ME.
Duties

This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-08. At the GS-07 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-08. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher level work, and availability of funds.
The major duties include but are not limited to:
Screens visitors and telephone calls, ascertains/determines nature of call or business of visitor and directs them to the appropriate person;
Receives, reviews/reads and distributes mail;
Coordinates and schedules appointments for the ADP/NS and maintains electronic calendar of meetings and/or appointments;
Attends meeting when required, takes minutes, summarizes, distributes copies to attendees and keeps diary controls of follow up actions as required;
Maintains Nurse Executive office records and manuals, enlarges and discontinues as appropriate, making changes/revisions as necessary to conform to changing requirements/standards;
Maintains Nurse Executive office diaries/suspense systems and assumes responsibility for initiating renewal for all review dates for memoranda/circulars relating to Nursing and forwards copies to appropriate personnel for revision/update;
Creates files and prepares documents using word processing technology and related software (word processing, spreadsheets, graphics, etc.);
Procures information, organizes files and retrieves reports, correspondence and numerical data for us in preparing reports, briefings and presentations;
Serves as correspondence liaison for the Nurse Executive office;
Manages and/or prepares responses to correspondence;
Makes travel arrangements for the ADP/NS and other Nurse Executive Office staff as necessary, including financial planning, reservations and itinerary;
Maintains the Nursing Web page (webmaster) to include updating the electronic phone book, posting circulars, memos and policies/procedures to the web page, etc.;
Composes and types minutes in final form, editing material when necessary from personal, telephone, ADP/NS, Chief of Staff and Center Director;
Types Nursing memorandums and circulars;
Develops and maintains control of tracking systems to track proficiency due dates and Nursing Professional Standards Boards dates for all nursing staff and provides required material to employees/raters in a timely manner; and,
Performs all other duties as assigned.
Work Schedule: Full Time, Monday through Friday, 7:30 am - 4:00 pm.

Qualifications
To qualify for this position you must meet one of the below requirements.
Typing Proficiency: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.

In addition to the Typing Proficiency, to qualify for this position at the GS-7 level, you must meet the following:
Experience: You have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-6) must in the federal service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of a Secretary (Office Automation) - Executive Office at a development level, and that is typically in or related to the work of the position to be filled. Specialized experience includes performing duties similar to that of a GS-8 grade level but of a more limited scope and with less independence such as scheduling appointments; coordinating meetings, conferences and making travel arrangements; receiving visitors and telephone calls to the office; collecting, compiling and tracking data; preparing correspondence, reports, memoranda and other forms of written communication assuring format accuracy (e.g., grammar, punctuation, spelling, attachments, etc.); utilizing office automation software and maintaining files.
In addition to the Typing Proficiency, to qualify for this position at the GS-8 level, you must meet the following:
Experience: You must have at least one (1) full year of specialized experience equivalent to at least the next lower grade level (GS-7) in the federal service that has given you the particular knowledge, skills and abilities required to successfully perform the duties of a Secretary (Office Automation) - Executive Office, and that is typically in or related to the work of the position to be filled. At this level, you must be able to work independently, have excellent organizational skills, as well as exceptional judgment and decision-making skills. Specialized experience includes providing administrative support to an organization scheduling appointments and managing calendar; coordinating meetings, conferences and making travel arrangements; receiving visitors and telephone calls to the office; collecting, compiling and tracking data; preparing correspondence, reports, memoranda and other forms of written communication assuring format accuracy (e.g., grammar, punctuation, spelling, attachments, etc.); utilizing office automation software and maintaining files.

IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work of this position is sedentary. No specific physical qualifications are required. The work includes walking, bending, stooping and some lifting, usually not more than ten pounds.
