This position is located within a National Forest. The primary purpose of this position is for providing general administrative support, typing, and associated general clerical work in support of the unit.

Duties

Performs clerical work to assist in providing various administrative services essential to the management, direction, and operation of the assigned office. Based upon a good working knowledge of the office and the programs under the supervisor's control, the incumbent resolves problems associated with the clerical work of the office. Handles clerical duties, such as mail and package delivery, personnel updates to phone lists, and sign-out board. Clips and routes articles to the appropriate staffs. Maintains the Forest video, film, and slide library and audio-visual equipment. Supports the office by performing such duties as monitoring of field-going personnel for safety purposes, assistance with scheduling the conference room, fleet use reporting, travel assistance, assistance with purchasing during busy times, etc. Monitors the status of office and security equipment and uses a variety of office and computer equipment to accomplish project and unit goals. Monitors local newspapers for articles related to the Forest Service. Coordinates Forest Service presence with local and community special events, including parades, holiday activities, fairs, shows, and celebrations. Accurately types correspondence, reports, or similar materials from handwritten or electronic drafts using a personal computer, or similar equipment, and word processing software. Ensures correct grammar, spelling, capitalization, punctuation, and appropriate format. Uses database or spreadsheet software to accurately enter, revise, sort or calculate, and retrieve data for standard reports. Accurately and promptly transmits and receives documents and messages electronically using computers or workstations. Reads and processes incoming correspondence and material. Ensures that correspondence is properly routed in a timely manner. Determines which items should be brought to supervisor's attention as opposed to those that should be sent directly to other appropriate personnel for action. Reads and reviews material to be filed, assigns code based on document content, and files material based on determination. Retrieves files based on knowledge of filing system. Ensures files have all pertinent documents and signatures. Maintains and accurately updates file system to enable quick and efficient retrieval of information. Purges files or performs other file disposition actions in accordance with established procedures. Receives visitors and phone calls. Determines nature of request and refers callers or visitors to appropriate staff. Personally answers routine questions in a timely and accurate manner and provides information when routine procedural matters are involved. Coordinates Smokey Bear appearances and Forest Service presence at local events such as parades and fairs. Performs regular daily activities for the reception area or visitor center, including but not limited to, daily opening and closing of the facility, raising and lowering the flag, and maintaining the front desk. Monitors public areas, and updates the status of exhibits. Provides visitors with effective instructions on security and safety procedures and informs the supervisor of visitor needs. Operates a variety of audiovisual equipment. Maintains a lost and found for visitors and staff. Visits and is very familiar with trails, campgrounds, roads, and other areas on the unit, in order to provide accurate, descriptive information. Requisitions office supplies, printing support, and related materials. Accurately prepares and submits requisitions. Tracks requisitions for timely completion. Coordinates Linc pass program on the unit. Creates bills for collection for contracts and permits. Sends and tracks bills and payments through the automated financial system. Coordinates annual billing and follow-up on delinquent payments. Maintains current emergency information and telephone numbers for work unit employees. Coordinates with staff specialists and public affairs office to provide the latest, most accurate and appropriate information to the public.

Qualifications

In order to qualify, you must meet the eligibility and qualifications requirements as defined below by the closing date of the announcement. GS-04: Applicants must have one year of progressively responsible clerical, office, or other work which provided the knowledge and skills needed to perform the duties of the position being filled; OR an associate's degree or two years of successfully completed education above high school; OR combinations of successfully completed post-high school education and experience. The education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. Examples of General Experience includes: Clerical, office, or other customer service work such as greeting visitors and responding to phone or written inquiries, using word processing software or other automated software to produce routine documents; maintaining office files; and answering phone calls in an office setting. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
